Overview
We're looking for a hands-on Accounts Receivable Manager to own AR and Collections at a fast-growing company. This is a player-coach role. You'll lead a team of collectors, and you'll also do the transactional work yourself in QuickBooks when something needs to get done.
You'll be the person on the ground who keeps cash coming in. That means tracking every past-due account, holding the team to a steady follow-up rhythm, making decisions without escalating, and making sure nothing falls through the cracks. There are no rigid SOPs or layers of approval here. You're expected to find the answer, fix the problem and move on.
Must-Have Qualifications
- 5+ years in Accounts Receivable / Collections, including a management or supervisory role
- Advanced, hands-on QuickBooks skills. Daily transactional work, not just reviewing it. Candidates must score in the top tier on our QuickBooks assessment.
- Solid accounting fundamentals: debits/credits, revenue vs. bad debt, credit memos, adjustments
- Proven track record of reducing DSO and improving collections results
- Strong time management, with the ability to lead a team and do your own work at the same time
- Comfortable in Google Workspace (Gmail, Sheets) and strong in Excel
- Decisive and independent, able to make day-to-day calls without escalating each one
- Excellent written and verbal English for daily client and leadership communication
Nice to Have
- Experience with Upflow or similar AR automation tools
- Salesforce experience, especially AR/CRM reconciliations
- Spanish (the team is LATAM-based)
- Background in startups or fast-growing companies
Key Responsibilities
- Own collections performance and cash flow. Drive DSO down and track collections KPIs every week.
- Lead the collections team (7 people based in Mexico). Assign work, check it gets done, and hold people accountable. Step in on underperformance quickly.
- Set the follow-up rhythm. Every account with a past-due balance gets a touch every other day. Use the existing tools to spot untouched accounts and follow up with collectors before anyone else has to ask.
- Do the transactional work in QuickBooks without handing it off: adjustments, credit memos, write-offs and account-level fixes.
- Manage the AR inbox and customer escalations. Resolve issues in a single, clear message instead of long back-and-forth threads.
- Run and analyze weekly aging reports. Turn them into specific actions.
- Report to leadership on a fixed schedule. Deliver the weekly AR status report to the executive team on time and prepared, without reminders.
- Complete the monthly AR-to-Salesforce reconciliation on time, and improve the process over time.
- Improve how collections works. Bring new ideas for getting cash in beyond "make more calls," and remove bottlenecks.
- Coordinate across teams (Billing, Sales, Support, Leadership) with a clear line between collections and billing. Push back when needed to protect accounting integrity.
- Pull data and build reports from QuickBooks and Upflow.
