Role Overview
- Some admin roles are about keeping a to-do list tidy. This one helps keep an entire business moving.
- As our Admin & Procurement Assistant, you’ll support one of our Australian clients across administration, parts procurement, customer coordination, and marketing support.
- You’ll bring order to the everyday—sourcing and tracking parts, following up suppliers, keeping customers informed, maintaining accurate records, and making sure important details don’t disappear into the “I’ll get to that later” pile.
- This role suits someone who likes turning follow-ups into outcomes. You’ll take ownership, solve everyday problems, manage competing priorities, and spot opportunities to improve processes and the customer experience.
Key Responsibilities
- Provide day-to-day administrative and operational support.
- Source and order parts for appliance and HVAC jobs.
- Check supplier availability, pricing, and lead times.
- Track parts orders and follow up outstanding items.
- Maintain accurate records of parts ordered and received.
- Coordinate with internal teams to ensure required parts and information are available.
- Manage emails, correspondence, and follow-up actions.
- Maintain organized digital files, records, and documentation.
- Update CRM systems, spreadsheets, customer records, and parts records.
- Assist with scheduling, bookings, coordination, and general business administration.
- Communicate professionally with customers and suppliers by phone and email.
- Follow up customers regarding quotes, bookings, orders, and outstanding information.
- Respond to customer enquiries in a timely manner.
- Maintain customer databases and marketing lists.
- Support basic social media, email marketing, promotional, and customer-engagement activities.
- Identify opportunities to improve administrative processes and customer experience.
- Support initiatives that encourage customer engagement and repeat business.
Requirements
Required Qualifications:
- At least 2 years of relevant experience.
- Previous experience in administration, customer service, coordination, procurement support, or a similar role.
- Strong written and verbal English communication skills.
- Excellent organization and attention to detail.
- Confidence communicating professionally with customers and suppliers.
- Strong computer skills and ability to learn new systems.
- Experience using CRM systems, spreadsheets, email, and online tools.
- Ability to multitask and prioritize competing requirements.
- Proactive problem-solving skills.
- Ability to work independently, take ownership of tasks, and complete follow-ups on time.
Preferred Qualifications:
- Marketing awareness or previous marketing support experience.
- Experience supporting social media, email marketing, or customer-engagement activities.
- Experience in HVAC, appliances, trades, construction, or a similar industry.
