Your Role: Administrative Assistant

As an Administrative Assistant, you will provide proactive, high-quality, and confidential administrative and operational support to designated Directors, Executive Directors, and their broader functional teams. In this role, you will serve as a central communication liaison and coordination anchor, managing complex calendars, travel logistics, and departmental workflows to drive operational efficiency.


Your Responsibilities:

  • Manage and optimize complex, fast-changing executive calendars in Microsoft Outlook, proactively resolving conflicts and prioritizing urgent inquiries.
  • Plan and coordinate domestic and international travel itineraries, accommodations, and visa requirements while reconciling expenses in compliance with Elanco policies.
  • Coordinate end-to-end meeting and event logistics for on-site, virtual, and hybrid environments, including room security, AV configuration, and catering.
  • Execute departmental financial and operational support, including purchase requisitions via SAP, facility work orders via ServiceNow, and SharePoint repository maintenance.
  • Facilitate team coordination and onboarding logistics for new hires, including IT hardware requests and workstation setup.

What You Need to Succeed (minimum qualifications):

  • Education: High School Diploma or equivalent; Associate’s degree or relevant business certification preferred.
  • Experience: A minimum of 3 years of professional administrative support experience in a fast-paced corporate or matrixed environment.
  • Demonstrated proficiency with the Microsoft 365 Suite (Outlook, Teams, Word, Excel, PowerPoint, SharePoint) and experience with travel/expense platforms like Concur.

  • Proven track record of handling sensitive company information with the utmost discretion and integrity.
  • Strong ability to anticipate leaders' needs and exercise sound judgment in ambiguous situations.
  • Prior experience navigating enterprise systems such as Workday, SAP, or ServiceNow.
  • Exceptional interpersonal, written, and verbal communication skills across all organizational levels.
  • High degree of flexibility and attention to detail with the ability to manage multiple competing priorities.
