Join a dedicated team helping build Edmonton's future by providing vital clerical and administrative coordination. As a Clerk II, you keep essential municipal land development processes running efficiently and accurately.

Reporting to the Director of Subdivision & Development Coordination, you will deliver comprehensive administrative, committee, and financial support to both the Section and the Development Servicing Agreements (DSA) Unit. You will coordinate multi-party committee meetings, direct servicing agreement documentation, track financial workflows, and liaise with internal teams and external industry collaborators to facilitate timely land development.

What will you do?

  • Coordinate administrative functions for internal and multi-party committees (such as the Development Agreement Working and Steering Committees, and Off-Site Levy Committees), including scheduling, confirming quorum, booking venues/virtual platforms, preparing agendas, recording minutes, and publishing approved records to City web pages
  • Direct and track servicing agreements and related legal documentation through the execution cycle; prepare caveat discharge and postponement documents for registration with the Alberta Land Titles office
  • Serve as an administrative point of contact for private developers, external legal counsel, and community partners regarding servicing agreement statuses, routine procedural inquiries, and Land Titles updates
  • Process routine financial transactions, including purchasing requisitions, PO and non-PO invoices, corporate procurement card reconciliations, training registrations, and annual professional membership dues (e.g., APEGA, ASET, APPI)
  • Manage Section logistics, including interoffice and registered mail, onboarding setups, computer/phone asset inventories, office move coordination, and tracking inquiries from City Council
  • Assist method analysts with drafting process maps, Standard Operating Procedures (SOPs), task deliverable lists, and the DSA Annual Report
  • Maintain accurate electronic databases, archive project documents, and index redline/engineering drawings

Qualifications

:
  • Completion of the twelfth (12th) school grade, including business subjects related to word and information processing or data entry; or completion of an appropriate certificate program from an approved business school or college
  • Two (2) years of diversified experience in general office practices and procedures, document formatting, records management, and detailed meeting minute preparation

Assets:

  • Experience working with land development processes, legal agreements, municipal bylaws, or Land Titles procedures
  • Experience supporting formal working groups, steering committees, or multi-party boards
  • Experience utilizing enterprise platforms such as POSSE, ePlan, SAP Ariba, or Google Workspace

Skills required for success:

  • Expertise in structured minute-taking and formal agenda preparation
  • High attention to detail when managing legal instruments, contracts, and municipal records
  • Strong organizational and task-prioritization capabilities in high-volume, deadline-driven settings
  • Clear and professional written and verbal communication suited for internal leaders and external industry collaborators
  • Proactive problem-solving to resolve scheduling bottlenecks, document discrepancies, and administrative roadblocks
  • Discretion and tact when handling sensitive legal documentation, financial transactions, and inter-organizational inquiries
  • Proficiency across productivity suites and municipal software applications
