Pay range for position is $22.89 - 27.03/hour.UCAR is excited to announce the job opening for the Administrative Assistant II role. This position is responsible for supporting both internal staff and external audiences like the public, students, postdocs, and faculty. Collaborating with our team, you'll contribute to team success in a hybrid environment with a minimum of one day per week in the office. Additionally, the Administrative Assistant II will provide part-time administrative support to the Education, Engagement, and Early Career Development (EdEC) Center at NSF NCAR, including the Management Team, Staff, and Sections.
NSF NCAR Education, Engagement & Early-Career Development (EdEC) leads the education mission of NSF NCAR by engaging, training, and providing educational development opportunities for the next generation of scientists and engineers, the broader Earth system science community, and the general public. We prepare students and early-career scientists for careers to work in cutting-edge fields such as severe weather observation and modeling, space weather prediction, and new technologies like artificial intelligence and machine learning.
Job Description
Responsibilities
Administrative & Event Coordination
- Manage meeting logistics, room setups, catering, and note-taking for EdEC meetings and events (including up to 16 evening/weekend events annually), alongside general office support and database entry.
Travel & Financial Operations
- Providing comprehensive travel support, from planning and booking to expense reimbursement, and managing procurement tasks, stipends, and honoraria payments.
Collaborative Program Support
- Partner with the administrative team, property administrators, section leads, and program specialists to ensure smooth day-to-day operations across EdEC programs.
Required Qualifications
Education
- High school diploma or equivalent;
- 2 years relevant experience;
- Or a combination of education and experience.

- Communication & Interpersonal Skills: Strong written and oral communication, editing, proofreading, and professional etiquette, combined with collaborative teamwork across diverse backgrounds and the ability to work independently.
- Organization & Initiative: Advanced organizational skills, multi-tasking abilities, and a demonstrated capacity for initiative and independent problem-solving.
- Technical Proficiency: Advanced skills in standard PC applications (Microsoft Word, Excel, PowerPoint, Access), Google Apps, databases, and network computing environments.
- Operations & Compliance: A thorough understanding of policies, procedures, and practices, with the ability to reliably handle confidential information and assess unique situations appropriately.
- Travel & Logistics: Advanced knowledge of travel logistics, planning, and related administrative procedures.
Work Location Expectations: This position is open to candidates seeking in-person or hybrid (combination of 3 days in-person and 2 days of remote) opportunities. UCAR requires ALL positions to be performed within the U.S., excluding U.S. Territories.
Additional Job Details: Position will be Part-Time for 10 hours per week.
