Position Summary
The Administrative Assistant plays a key role in supporting the day-to-day operations of the Richter Family Office team. This position provides administrative, operational, and client service support through the preparation of reports, emails and communications, maintenance of client and manager information, coordination of billing and compliance activities, and support of special projects and events. The incumbent works closely with internal teams, investment managers, and external providers to ensure a high level of accuracy, efficiency, and service while contributing to process improvement initiatives and the smooth functioning of the team.
A Day in the Life:
- Support Partners and team members by coordinating schedules, meetings, travel arrangements, and administrative priorities.
- Prepare and format reports, presentations, correspondence, and other client-facing materials.
- Maintain accurate client and manager information across Salesforce, Addepar, LastPass, and client portal platforms.
- Collaborate with the Operations team to support reporting requirements, data integrity, and quality control initiatives.
- Assist with quarterly and annual billing activities, including preparation, review, and distribution.
- Support compliance processes through the maintenance, review, and filing of client and manager documentation.
- Coordinate with custodians, clients, and internal stakeholders to address inquiries and enhance the client experience.
- Contribute to process improvement initiatives, operational best practices, and special projects across the business.
- Build strong cross-functional relationships while supporting the smooth day-to-day operations of the office.
What we’re looking for:
- Ability to manage busy calendars, coordinate meetings and travel arrangements, and maintain seamless day-to-day administrative support.
- Ability to work autonomously with minimal supervision and frequent interruptions or changing priorities
- Advanced computer skills, including proficiency with MS Office (Word, PowerPoint, Excel and Outlook) and the ability to learn new programs
- Strong knowledge of Salesforce CRM
- Addepar considered an asset
- Excellent written and verbal communication skills – ability to draft effective communications (emails, letters, memos, instructions) with exceptional grammar, spelling and proofreading skills
- Strong organizational skills, prioritizing and multi-tasking skills
- Ability to work in a dynamic, demanding, high-pressure environment

- 2-3 years of work experience in financial or banking industry or in a professional services firm, an asset
- College diploma; university degree preferred

The salary range for this position is $50,000 – $74,000, and employees may also be eligible to participate in our bonus program. Compensation complies with applicable pay transparency legislation and is regularly reviewed to stay market competitive. Salaries within the range reflect individual contributions and are based on objective factors such as internal equity, experience, education, role scope, and required skills
