Administrative Associate

We are looking for a full-time, remote Administrative Associate. Someone to provide high-level administrative and operational support to the field and programs teams.
What would you do if hired?
- Serve as the primary point of contact for the organization's main phone line, answering, screening, and directing calls to the appropriate staff member or department in a professional, courteous, and timely manner, taking accurate messages when needed, and tracking follow up.
- Provide administrative support for Sr. Director of Volunteerism, Sr. Director of Programs, and others as assigned. Including scheduling and coordinating meetings, appointments, and calendars, both virtual meetings on Teams and Zoom, and in-person meetings which will include room reservations, travel and other logistics.
- Coordinate and supporting Hill Day, ACA’s advocacy and government relations 3 day event in April/May.
- Provide administrative support for Affinity and Kindred groups, including coordinating schedules with volunteers, activities at conferences, etc.
- Perform accurate data entry and record updates in Dynamics 365 and Protech Associates, including member, camp, and contact information.
- Assist various departments (Field Team, HR, Inclusion & Belonging, and others) in an administrative capacity.
- Performing other administrative duties as assigned.
What are we looking for in a candidate?
- High school diploma or equivalent required; associate degree or relevant coursework preferred.
- Minimum of two years of experience in an administrative, clerical, or front-office support role, preferably in a nonprofit or association setting.
- Ability to handle sensitive and confidential information – including member and staff records – with discretion and professionalism.
- Willingness to support a positive, inclusive office culture consistent with ACA's values of community, empowerment, inclusion, well-being, and continuous improvement.
- Ability to manage multiple projects involving various stakeholders, including volunteers, with frequent deadlines.
- Strong attention to detail.
- Ability to work well independently, as well as, with others in a team.
- Experience with Microsoft CRM, Outlook, Excel, and Word with an ability to quickly learn Microsoft CRM, Plaud, and Moodle.
- Spanish fluency, strongly preferred.
- Ability to work during ACA's core hours of 8a-4:30p in the Eastern Time Zone.
