Administrative & Events Coordinator (C2)

THE ORGANIZATION:

TakeAction Minnesota is a power organization, building multiracial, cross-class teams of young people, parents and caregivers, artists and musicians, and tenants in key geographies around the state to win strategic campaigns for care, repair, and stability in our communities and statewide. Founded in 2006, TakeAction Minnesota exists because the challenges we face are bigger than one campaign or election cycle.

TakeAction Minnesota’s work is powered by both our Organizing and Operations teams. The Organizing team includes staff in base-building, data, politics, and communications who build campaigns across legislative, administrative, electoral, and community arenas to grow grassroots power and advance long-term transformational change. The Operations team provides the financial, administrative, and organizational infrastructure that supports this work and enables our organizing teams to succeed.

POSITION SUMMARY

The Admin & Events Coordinator role supports keeping TakeAction Minnesota’s people, priorities, and day-to-day work organized and moving forward. Working closely with the Co-Executive Directors, Senior Leads, staff, and board members, this position provides thoughtful administrative and logistical support across the organization.

We’re looking for someone who is organized, reliable, collaborative, hospitable, and enjoys being part of the team ensuring the logistical conditions are in place for success. This role offers opportunities to learn about the organization, build relationships across teams, and gradually take on more responsibility for projects, events, and organizational coordination.

ESSENTIAL FUNCTIONS

Essential duties and responsibilities may include, but are not limited to, the following:

Senior Leads Administrative Support (55%)

Senior Leads are members of our core leadership team. They work closely with the Co-Executive Directors to support organizational priorities, coordination, and day-to-day operations.

  • Provide day-to-day administrative and operational support, helping keep priorities organized and moving forward

  • Help coordinate information and follow-up across staff, board members, partners, and external contacts

  • Manage calendars and scheduling, including coordinating meetings and resolving scheduling conflicts

  • Draft and edit routine email correspondence on behalf of the team, as needed

  • Help track commitments, deadlines, and follow-up items, flagging questions or potential conflicts as they arise

  • Support meeting prep by gathering materials, taking notes as needed, tracking action items, and helping ensure next steps are documented

  • Process expenditures and expense reimbursements accurately and in a timely manner

  • Support contract administration, including tracking deadlines, following up with staff and vendors, and processing invoices for payment

  • Assist with special projects and emerging priorities, taking on additional responsibility as organizational knowledge and skills develop

Board of Directors (20%)

  • Serve as a point of contact for TakeAction Minnesota (c4) and TakeAction Minnesota Education Fund (c3) board members, helping ensure they receive timely information, materials, and logistical support

  • Coordinate board meetings, including scheduling, agendas, materials, technology, and follow-up

  • Support prep for board meetings by gathering materials, tracking action items, and helping organize follow-through

  • Maintain accurate board records and documentation

  • Manage logistics of onboarding of new board members, board retreats, elections, and other governance activities

  • Support communication and coordination efforts between the Co-Directors, board members, and staff

  • Develop familiarity with board governance practices and take on additional board-related responsibilities over time

Events and Special Projects (25%)

  • Support planning and logistics for all-staff meetings, trainings, and organization-wide gatherings

  • Assist with planning and coordination of base-building events, including timelines, vendors, materials, and logistics

  • Support planning and implementation of TakeAction’s annual fundraising event, with opportunities to take ownership of specific event components

  • Coordinate assigned pieces of meetings and events, including preparation, communications, materials, and day-of support

  • Help track projects, deadlines, and follow-up across staff and teams

  • Take on discrete special projects with support and increasing responsibility over time

  • Partner with event owners to ensure events are people-centered, welcoming, and thoughtfully designed, with attention to creating spaces where participants, partners, and community members feel seen, valued, and able to fully participate

  • Build skills in project management, event coordination, and cross-team collaboration through progressively larger and more complex assignments

Other duties or tasks may be assigned on an as-needed basis.

SKILLS AND EXPERIENCE

  • Natural curiosity about people and the ability to build rapport across lines of difference; able to both listen deeply and engage boldly with strangers, members, and colleagues.

  • Demonstrated commitment to economic, racial, and gender justice, and to advancing progressive political change through building power.

  • Strong organizational skills and attention to detail; able to manage multiple priorities, deadlines, and moving pieces while staying flexible when plans change.

  • Comfort taking initiative, asking questions, and figuring things out without needing every step mapped out.

  • Ability to navigate both routine administrative tasks and unexpected or time-sensitive needs with care and good judgment.

  • Willingness to offer ideas, receive feedback, adapt plans, and actively contribute to solutions.

  • Experience coordinating meetings, events, projects, or other shared work; willingness to learn and grow these skills over time.

  • Basic computer skills (e.g., Google Workspace, Signal, email, spreadsheets); interest in learning new tools and technology that support work.

  • Willingness and ability to work evenings and weekends as needs require.

PHYSICAL DEMANDS AND WORKING ENVIRONMENT
Work is performed in a standard office environment which requires occasionally lifting such articles as file boxes, camera equipment, or heavier materials with help from others and/or lifting and carrying light objects frequently. A job in this category may require walking or standing to a significant degree or may involve sitting most of the time with long periods of computer work and heavy phone usage. This role may occasionally require working outside typical business hours, including evenings or weekends, especially during peak campaign moments or events.

SALARY AND BENEFITS

  • Salary is commensurate with experience and starts at $59,829. Category: Coordinator 2

  • Full-time employment is defined as working 64 or more hours per pay period and may include working nights and weekends.

  • Full health and dental benefits through HealthPartners. TakeAction Minnesota pays 95% of monthly insurance premiums for the employee and their family.

  • 3 weeks of vacation accrued in the first year, 2 weeks of sick and safe leave upon hire with another 2 weeks accrued in the first year, 8 paid holidays, and a 1-week summer and 1-week winter office closure.

  • Paid leaves including 3rd Year Break (3 weeks + $1,000 stipend), 5-year and 10-year Sabbaticals (8 weeks + $1,000 stipend), Paid Family & Medical Leave, and other leave options.

  • Annual 5% guaranteed pay increase; monthly reimbursements including cell phone and home internet use; annual wellness and professional development stipends.

  • This position is NOT a member of the Minnesota Newspaper and Communications Guild.

REPORTS TO & LOCATION

  • This position reports directly to the People & Culture Director.

  • This position is in our Saint Paul, MN office but will be required to occasionally travel, including to Duluth, MN. All employees are resourced to work from home or under a hybrid model as needed, with work arrangements determined in collaboration with their supervisor.
