Administrative Specialist – Part-Time


406 Recovery | Psychiatry & Addiction Specialists
20 hours per week | Remote


406 Recovery is seeking a dependable, organized, and personable Administrative Specialist to join our team. This position plays an important role in supporting patients, providers, and the broader 406 Recovery team through scheduling, intake coordination, referral processing, and day-to-day administrative support.


We are looking for someone who communicates well, pays close attention to detail, is reliable and flexible, and enjoys working collaboratively as part of a team. The ideal candidate is willing to help where needed, including assisting with coverage for other front office team members when they are out of the office.


Schedule

  • Monday: 8:00 AM–4:30 PM (30-minute lunch)
  • Wednesday: 1:00 PM–5:00 PM
  • Friday: 8:00 AM–4:30 PM (30-minute lunch)
  • 20 hours per week
  • Potential for additional hours in the future, including the possibility of a full-time 30–40 hour per week position, based on organizational need.


Compensation & Start Date

  • Compensation: Hourly rate dependent on experience (DOE)
  • Start Date: As soon as possible.
  • Posting: This position will remain open until filled.


Work Location

This is a remote position within our telehealth psychiatric and addiction medicine practice. Employees must have an appropriate remote workspace that supports patient privacy, confidentiality, and HIPAA requirements. For employees located in Billings, Montana, 406 Recovery also maintains a physical office space that is available for use.


Montana residency is strongly preferred. Candidates residing in Wyoming, Idaho, Oregon, or Washington will also be considered. Applicants must reside in Montana, Wyoming, Idaho, Oregon, or Washington to be eligible for this position. Applications from residents of other states will not be considered.


Key Responsibilities

  • Receive and process new patient referrals and assist patients through the intake process.
  • Provide information about 406 Recovery services and coordinate initial appointments.
  • Gather required demographic, insurance, and other intake information.
  • Create and maintain patient records within the electronic health record (EHR).
  • Coordinate provider placement and patient scheduling.
  • Assist with appointment changes, cancellations, and other scheduling needs.
  • Communicate professionally and effectively with patients, providers, community partners, and other members of the 406 Recovery team.
  • Provide administrative coverage and support for other front office team members as needed.
  • Complete general administrative tasks and assist with day-to-day practice operations.


Qualifications

  • High school diploma or equivalent required; additional education preferred.
  • At least 2 years of administrative experience, preferably in a psychiatric, addiction medicine, or other medical practice.
  • Experience working with individuals receiving psychiatric and/or substance use disorder treatment preferred.
  • Strong written and verbal communication skills.
  • Excellent organizational skills, attention to detail, and ability to manage multiple priorities.
  • Comfortable using electronic health records, Google Workspace, and other web-based systems.
  • Ability to maintain patient confidentiality and appropriately handle sensitive health information.
  • Dependable attendance and punctuality.
  • Flexibility and willingness to assist with team coverage when needed.
  • Ability to work collaboratively and contribute to a supportive, team-oriented environment.
