Position Overview
We are seeking a dependable, organized, and detail-oriented
Administrative Support Clerk (Data Entry) to provide essential administrative and data-management support to our team. This position is responsible for accurately entering, updating, organizing, and maintaining information while assisting with routine office and administrative functions.
The ideal candidate will have strong attention to detail, excellent organizational skills, good computer proficiency, and the ability to manage multiple tasks efficiently. Key Responsibilities
Data Entry and Records Management
- Enter, update, and maintain accurate information in company databases, spreadsheets, CRM systems, and other digital platforms.
- Process information from forms, emails, invoices, reports, applications, and other source documents.
- Review entered information for accuracy, completeness, and consistency.
- Identify and correct data-entry errors, duplicate records, missing information, and inconsistencies.
- Perform routine data verification and quality-control checks.
- Maintain organized electronic records and ensure documents are properly filed and accessible.
- Update existing records promptly when new information becomes available.
- Assist with data cleanup, formatting, sorting, filtering, and organization.
- Convert information from paper documents, PDFs, scanned files, and other sources into digital records.
- Maintain accurate logs, registers, databases, and administrative records.
- Prepare basic reports, spreadsheets, summaries, and data lists as requested.
Administrative Support
- Provide general administrative assistance to managers, supervisors, and other departments.
- Organize and maintain digital files, folders, documents, and records.
- Respond to routine administrative inquiries through email or internal communication platforms.
- Assist with scheduling, document preparation, correspondence, and other clerical activities when required.
- Prepare, format, and proofread basic documents, reports, forms, and spreadsheets.
- Assist with processing administrative forms and internal documentation.
- Maintain tracking spreadsheets for projects, activities, requests, or operational tasks.
- Monitor shared inboxes or administrative communication channels and route requests to the appropriate team members.
- Assist with preparing meeting materials, notes, lists, and other administrative documents.
- Perform scanning, document organization, file conversion, and electronic filing tasks.
- Support other departments with routine administrative and data-related assignments.
Data Quality and Confidentiality
- Ensure all information entered into company systems is accurate and up to date.
- Compare records against original documents and source information.
- Report discrepancies or incomplete information to the appropriate supervisor.
- Follow established data-entry and record-management procedures.
- Handle confidential business, customer, employee, and operational information responsibly.

Required Qualifications
- High school diploma, GED, or equivalent qualification.
- Previous experience in administrative support, data entry, clerical work, office administration, or a related position is preferred.
- Strong computer literacy and familiarity with common office software.
- Working knowledge of Microsoft Office, Google Workspace, or similar productivity applications.
- Good typing and keyboarding skills.
