Position Overview

We are seeking a motivated, organized, and dependable Entry-Level Administrative Operations & Office Support Professional to join our remote team. This position provides essential administrative, organizational, and operational support to help ensure the smooth day-to-day functioning of the business.

In this role, you will assist with scheduling, document preparation, digital file organization, internal communications, record maintenance, meeting coordination, task tracking, and other general administrative responsibilities. You will work closely with team members across different departments to help keep information organized, assignments on schedule, and routine business processes running efficiently.

This opportunity is designed for individuals at the beginning of their professional careers who are eager to develop practical experience in administration, office operations, and business support.

Previous professional office experience is not required. Training and guidance will be provided to qualified candidates.

Key Responsibilities

Administrative & Office Support

  • Provide day-to-day administrative assistance to managers and internal team members.
  • Prepare, format, edit, and organize routine business documents.
  • Maintain electronic folders, shared files, and administrative records.
  • Assist with processing forms, documents, and internal requests.
  • Update spreadsheets, trackers, contact lists, and other administrative resources.
  • Maintain accurate and organized digital records.
  • Monitor shared administrative inboxes or communication channels when assigned.
  • Route routine requests and information to the appropriate team members.
  • Assist with general clerical and administrative projects as needed.

Operations Support

  • Support daily operational activities across different departments.
  • Track assignments, deadlines, and outstanding action items.
  • Update project or operational trackers with current information.
  • Follow up internally on routine tasks when requested.
  • Assist with maintaining standard operating procedures and internal documentation.
  • Help coordinate administrative handoffs between departments.
  • Maintain organized workflows and ensure routine processes are followed.
  • Assist with preparing weekly or monthly operational summaries.
  • Identify routine administrative issues and escalate them appropriately.

Calendar & Meeting Coordination

  • Assist with scheduling internal meetings and appointments.
  • Coordinate calendars and meeting availability.
  • Send meeting invitations, reminders, and relevant materials.
  • Help prepare meeting agendas and supporting documents.
  • Take basic meeting notes when requested.
  • Organize and distribute action items following meetings.
  • Assist with coordinating virtual team meetings, training sessions, and internal events.

Documentation & Record Management

  • Create and maintain organized electronic filing systems.
  • Upload, label, categorize, and archive digital documents.
  • Review records for completeness and basic accuracy.
  • Maintain document indexes and administrative tracking logs.
  • Retrieve authorized documents when requested.
  • Assist with organizing company templates, forms, policies, and reference materials.
  • Ensure documents are stored according to established procedures.
  • Handle confidential information responsibly.

Communication & Team Coordination

  • Communicate professionally with team members through email, chat, and virtual meetings.
  • Respond to routine internal administrative inquiries.
  • Assist with drafting basic emails, notices, and internal communications.
  • Coordinate information between departments when necessary.
  • Provide status updates regarding assigned administrative tasks.
  • Request clarification when instructions or documentation are incomplete.
  • Maintain professional and timely communication in a remote work environment.

Data & Reporting Support

  • Enter and update routine information within approved company systems.
  • Maintain spreadsheets and administrative databases.
  • Review records for obvious errors or missing information.
  • Assist with compiling information for routine reports.
  • Prepare basic summaries using company templates.
  • Perform quality checks on administrative records.
  • Help maintain accurate and up-to-date business information.

Employee & Team Support

  • Assist with administrative aspects of employee onboarding.
  • Organize onboarding documents and internal resources.
  • Help coordinate orientation meetings and training schedules.
  • Maintain appropriate employee-related administrative records when authorized.
  • Assist new team members with locating internal resources and documentation.
  • Support other internal administrative initiatives as assigned.

Required Qualifications

  • High school diploma, GED, or equivalent.
  • Basic computer proficiency.
  • Familiarity with email, web browsers, and digital documents.
  • Basic knowledge of word-processing and spreadsheet applications.
  • Strong organizational skills.
  • Good attention to detail.
  • Effective written and verbal communication skills.
  • Ability to follow instructions and established procedures.
  • Ability to manage multiple routine assignments.

Previous professional experience is not required. However, candidates may benefit from familiarity with:
