  • Project setup: Open new jobs and projects in internal systems, verify client and project information, and coordinate with the appropriate teams to ensure required documentation and approvals are in place.
  • Meeting coordination: Schedule internal and client meetings, manage calendar logistics, prepare meeting materials, and track follow-up items as needed.
  • Client communication: Respond to routine client inquiries promptly and professionally, provide administrative updates, and direct substantive questions to the appropriate Advisory team member.
  • Client follow-up: Proactively follow up on outstanding information, scheduling requests, documents, and agreed-upon next steps.

  • Record maintenance: Maintain organized, accurate client records, project files, contact lists, and administrative trackers.
  • Team support: Help monitor deadlines and outstanding tasks, identify missing information or discrepancies, and recommend practical improvements to administrative processes.

Qualifications

  • Two or more years of administrative, project coordination, client service, or similar experience preferred.

  • Strong attention to detail, with the ability to catch errors, verify information, and maintain accurate records.
  • Excellent organizational and time-management skills, with the ability to manage competing priorities and meet deadlines.
  • Clear, professional written and verbal communication skills.
  • Proficiency in Microsoft Outlook, Excel, Word, and Teams; familiarity with expense, timekeeping, CRM, or project management systems is helpful.
  • Ability to handle confidential information with discretion and exercise sound judgment.
  • A proactive approach to problem-solving and the ability to work independently while keeping others informed.
