JOB SUMMARY:
Reporting to the Senior Aftermarket Operations Manager, the Aftermarket Project Manager I is responsible for managing post-sale projects across the full execution lifecycle, including aftermarket services, commissioning of new equipment, and warranty-related work. This role serves as the primary point of coordination between customers, internal departments, Field Service, and subcontractors to ensure projects are executed safely, efficiently, and in alignment with contractual scope.
The Aftermarket Project Manager owns scheduling, customer communication, project coordination, and financial execution for assigned projects. Responsibilities include managing Time & Material (T&M) quoting and invoicing, tracking project costs, coordinating internal resources, and ensuring clear documentation and follow-through from kickoff through closeout. This role requires strong organizational skills, sound judgment, and the ability to manage dynamic project conditions while protecting margin and customer relationships.
RESPONSIBILITIES:
• Manage post-sale projects from order handoff or shipment through execution and closeout, including aftermarket, commissioning, and warranty-related work
• Serve as the primary point of contact for assigned customers, maintaining clear and proactive communication throughout the project lifecycle
• Coordinate internal resources across Engineering, Purchasing, Manufacturing, Logistics, and Field Service to support project execution
• Lead internal and customer kickoff meetings, pre-site work meetings, and execution planning discussions as applicable
• Develop, maintain, and update project schedules; proactively revalidate timelines when conditions change
• Coordinate commissioning and installation activities, including site readiness confirmation, safety documentation, and staffing alignment
• Track project costs against budget and commissioning or warranty allowances
• Prepare, issue, and track Time & Material (T&M) quotes, change orders, and scope adjustments
• Consolidate labor, travel, subcontractor, and material costs to support accurate and timely invoicing
• Coordinate warranty intake, execution tracking, and internal follow-up as defined by department processes
• Facilitate communication during field execution, including RFIs, parts ordering, and issue resolution
• Ensure accurate project documentation, billing records, and customer files are maintained in ERP and CRM systems
• Identify project risks, scope gaps, or schedule impacts and escalate appropriately with proposed mitigation plans
• Support project closeout activities, including final reports, documentation, and customer follow-up

SKILLS & QUALIFICATIONS:
• Required
o Strong project management skills to oversee aftermarket projects, ensuring they’re completed on time and within budget
o Negotiating contracts, pricing, and terms with vendors and suppliers is a key aspect of this role
o Ability to handle unexpected challenges and finding creative solutions is essential in project management
o Strong analytical skills including the ability to think critically and make decisions based on data analysis
o Solid organizational and detail-oriented skills in which attention to detail and the ability to prioritize and manage multiple tasks/projects on time is essential
o Exceptional communication and interpersonal skills and ability to navigate organizations to build relationships and garner support; ability to work collaboratively with cross-functional teams
o Ability to work independently and efficiently, exercise initiative, resourcefulness, and good judgement
o Excellent business writing skills, knowledge of payroll processes, and the ability to maintain a high level of confidentiality
o Flexible and comfortable working under pressure in a fast-paced environment
EDUCATION & EXPERIENCE:
• Required
o Bachelor’s degree from accredited four-year college or university or equivalent number of years of experience
o At least three years of project coordination or project management experience
o Experience in capital equipment or aftermarket services a plus
o Experience in technical specifications and/or a technical product
o Strong familiarity with project management software tools, methodologies, and practices
o Experience seeing projects through the full life cycle
o Aptitude for data and mathematics
o Advanced skills in the use of the Microsoft Office Suite of Products Excel (familiarity with pivot tables)
o Strong computer knowledge of Microsoft Office Products, ERP Systems, CRM Systems, and Outlook (MS Project and Planner a plus)
• Preferred:
o Experience in capital equipment or aftermarket services a plus
o Relevant certifications - PMP
