About this role

We’re looking for an AI Operations Lead to join our Operations team and help us make AI part of how every team at TaxDome works. AI is already in daily use across R&D, Support, Sales and HR, and we have a central AI team, AI champions and ops specialists in every department. Your job is to scale this across the whole company: find where AI saves the most time and effort, help teams adjust their processes and structure, and prove the return of every project with clear numbers.
You’ll lead the AI & Automation team (2 to 3 engineers, plus contractors if needed), report to the COO, and work directly with the management team and the CTO. At least 40% of your time goes to building solutions yourself. In this role, you’ll have the opportunity to take ownership, make meaningful decisions, and directly impact how the whole company works.
It’s a fully remote role, we are hiring globally.

What you’ll be responsible for

• Run structured discovery with the management team and their teams to understand how work gets done, where time is lost, and which workflows AI can change
• Shape what TaxDome looks like as an AI-native organization: which work runs on agents and which stays with people, how teams are structured, and which roles and skills we need
• Turn this into a company-level roadmap and own one automation backlog end to end: intake, scoring, prioritization against company priorities, and declining work that won’t pay off
• Lead the AI & Automation team of 2 to 3 engineers, plus contractors if needed: set priorities, plan delivery with the CTO, review quality, and decide what to build in-house and what to outsource
• Build and ship automations, agents and internal tools yourself, spending at least 40% of your time hands-on
• Set and run governance for AI and internal tools together with the CTO and InfoSec: access and permissions, data classification, connector approvals, architecture and engineering standards
• Lead our network of AI champions and work with ops specialists in each department to drive adoption, agree how each team works with AI, and hand every tool to an owner in the team that uses it
• Build AI literacy across the company: make AI part of onboarding, maintain guides and handbooks on our AI tools, set up team knowledge bases, and work with L&D on training when teams need to adapt
• Own the company’s AI tools and their budget: choose the best-fit tools for each need, manage licenses and access, remove duplicate subscriptions, and run one spend dashboard that every department leader sees weekly
• Measure adoption, payback and time saved for every launched tool, and report impact and AI spend to the management team regularly, including what isn’t working

What you bring

Must-have

• Solid experience in roles that combine technical delivery and business operations, such as AI or automation lead, solutions or forward-deployed engineer, internal tools lead, or hands-on technical PM
• Experience leading a small engineering team, as a manager or tech lead, including planning, prioritization and quality control
• A track record of building and shipping automations or LLM-based tools that other teams use daily, which you can show
• Advanced AI fluency: AI is central to your own work, you’ve automated a large part of your daily tasks yourself, and you design AI-assisted workflows that others use
• Experience mapping processes across functions and redesigning them, ideally including changes to roles or team structure
• Experience working with senior leaders and driving change across teams without formal authority
• Scripting skills (Python or JavaScript) and hands-on experience with APIs and webhooks
• Clear written communication and spoken English (B2+)

Nice-to-have

• Experience building AI integrations yourself, such as MCP servers, apps on the Claude API, or multi-step agents
• Experience setting up secure access to company data and tools: single sign-on, role-based permissions, or working through security reviews
• Experience in a B2B SaaS company, ideally with customer-facing teams like Sales, Support and Customer Success
• Hands-on experience with the tools our teams use every day, such as Jira, Confluence, HubSpot and Intercom, including their APIs and automation options
