Why this role is valuable
The Analyst / Associate, Office Services is responsible for ensuring the smooth day to day running of the Singapore office. This role serves as a key point of contact for workplace operations, facilities management, vendor coordination, office administration and employee support, helping to create a safe, efficient and engaging workplace experience for employees.
The successful candidate will proactively manage office services, coordinate facilities maintenance, oversee vendors, support workplace logistics, and ensure the office environment operates seamlessly.
How this role adds value
Workplace Operations & Facilities
- Oversee the day-to-day operations of the office to ensure an efficient and well-maintained workplace environment.
- Manage facilities-related matters, including coordination of repairs, maintenance, cleaning services, pest control, air-conditioning servicing, utilities, office equipment.
- Act as the primary point of contact for building management and facilities vendors.
- Support office moves, seating arrangements, workspace planning, and workplace improvement initiatives.
Pantry, Office Administration & Workplace Experience
- Manage pantry inventory and ensure adequate stock of beverages, snacks, kitchen supplies, and workplace consumables.
- Coordinate monthly pantry orders to maintain appropriate stock levels.
- Ensure pantry and common areas are clean, organized, and well-maintained.
- Manage office supplies and stationery inventory, ensuring adequate stock levels are maintained and replenished if necessary.
- Answer the office door and provide a welcoming experience for guests and visitors.
Vendor & Service Management
- Coordinate and manage relationships with office-related vendors and service providers.
- Source quotations, evaluate vendors, and support procurement activities in accordance with company processes.
- Monitor vendor performance and service standards to ensure quality delivery and value for money.
- Coordinate scheduled office servicing and maintenance activities and ensure work is completed satisfactorily.
Procurement & Payment Processing
- Raise purchase orders and support invoice processing for office-related expenses.
- Track office expenditure and assist with budget monitoring.
- Maintain records of contracts, service agreements, and vendor documentation.
- Ensure timely payment processing and follow-up with vendors and internal stakeholders where required.
Employee & Workplace Support
- Serve as a key contact for day-to-day workplace and office-related employee requests.
- Support onboarding and offboarding activities, including workstation setup, access cards, lockers
Workplace Events & Employee Experience
- Support the planning and coordination of office events, employee engagement activities, town halls, celebrations, and workplace initiatives.
- Coordinate event logistics, including venue setup, catering, vendor arrangements, attendee communications, and on-site support.
- Liaise with internal stakeholders and external vendors to ensure events are delivered smoothly and within budget.
General
- Identify opportunities to improve workplace efficiency, employee experience, and operational processes.
- Provide support on ad hoc office, workplace, and administrative projects as assigned.
What You Bring To The Role
Experience:
- 3-5 years of relevant experience in Office Management, Workplace Experience, Facilities Coordination, Office Services, Office Administration, or related roles.
- Experience managing office vendors, procurement activities, and facilities-related matters.
- Experience supporting office operations in a corporate or professional services environment preferred.
Skills & Competencies:
- Strong organizational and multitasking skills with excellent attention to detail.
- Ability to manage multiple priorities and work independently in a fast-paced environment.
- Good stakeholder management and communication skills.
- Strong customer-service mindset with a proactive and solutions-focused approach.
