Real opportunities. Real impact. Your career, redefined.

(NOTE: A human reviews every application at Oceans, so please apply for only one position and only once a year—if you're a better fit for another role, we’ll route your application accordingly and if we’re not quite ready for you, we’ll reach back out later.)

At Oceans, we believe that talent knows no boundaries. That’s why we connect the best and brightest professionals with career-defining opportunities that challenge, inspire, and accelerate their career growth. Our community, whom we call Divers, don’t just work—they dive deep, solve complex challenges, and make a real impact with global industry leaders. And in doing so, they don’t just support bold ideas—they expand their skills, broaden their expertise, and grow their careers.

As an AR & Office Operations Lead, you will join a growing field services and pest management company delivering subscription-based and recurring solutions to residential and commercial clients nationwide. Embedded within the Office Operations department, you will act as the operational engine driving daily collections performance, supervising an on-site accounts receivable team, and maintaining robust administrative and cross-functional coordination.

This is an operational leadership and execution-focused role rather than a traditional accounting or bookkeeping position. You will translate receivables data into clear daily priorities, monitor team outreach, resolve payment escalations, and streamline workflows across Office Operations, Finance, and Marketing.

Accountability

As an AR & Office Operations Lead, your success will be defined by your ability to drive team-wide collections performance, enforce daily outreach accountability, and optimize operational workflows across the office environment

Here’s how you’ll make an impact:

AR Team Supervision & Daily Performance Management

  • Supervise the daily activities and call volumes of the on-site accounts receivable specialist team.
  • Set and communicate clear daily priorities and outreach benchmarks based on established collection targets.
  • Monitor individual and team outreach logs, tracking completed outbound calls and payment authorizations within the operational CRM.
  • Follow up on missed activity targets, incomplete follow-up records, and performance gaps.
  • Provide active guidance to specialists on payment handling, maintaining consistent operational standards, and escalating persistent performance concerns to the Director of Office Operations.

Collections Strategy, Prioritization & Escalations

  • Analyze the accounts receivable database to identify, segment, and prioritize accounts based on outstanding balances, payment status, and recovery likelihood.
  • Direct specialists toward high-value collections while balancing quick-resolution accounts to maintain steady daily cash inflows.
  • Monitor customer payment promises and enforce rigorous follow-up against agreed-upon payment dates.
  • Serve as the escalation point for complex customer payment obstacles, reviewing billing history and account notes to resolve issues with tact and professionalism.
  • Investigate recurring operational root causes for delayed customer payments and propose structural workflow enhancements.

Operational KPI Tracking & Cross-Functional Reporting

  • Track daily outbound calls, collection amounts, outstanding subscription receivables, and payment commitment follow-ups.
  • Prepare, verify, and distribute daily collections summaries and performance reports to Office Operations and Finance leadership.
  • Monitor and address customer feedback or complaints associated with collections outreach.
  • Provide visibility into cash collections to the Finance department while coordinating with the Director of Finance on customer billing inquiries.
  • Support information exchange between Finance and Marketing by gathering operational data relevant to shared performance metrics.

Office Operations, Administrative Coordination & Backlog Support

  • Provide day-to-day administrative coordination and operational support to the Director of Office Operations.
  • Maintain organized operational records, documentation repositories, and administrative schedules.
  • Review existing operational workflows, identify administrative bottlenecks, and support the creation, standardization, and updating of Standard Operating Procedures (SOPs).
  • Deliver temporary, project-based support to assist the Finance team in clearing an existing reconciliation backlog using QuickBooks Online, tapering off once historical records are verified and aligned.

Colleagues

You will report directly to the Director of Office Operations and manage the on-site Accounts Receivable Specialist team, while working in close partnership with the Director of Finance, the broader Finance team, and the Marketing department.

At Oceans, you’ll also receive guidance and support from your Operations Manager, who will help you succeed in the role and ensure that you’re continuously growing and developing in your career.

Skills and Qualifications

At Oceans, we believe in T-shaped individuals—those who bring deep expertise in one area, paired with broad curiosity and interests. As an AR & Office Operations Lead, your vertical strength will be collections team supervision and operational performance management, while your horizontal capabilities should span cross-functional coordination, process documentation, and data-driven prioritization

To excel in this role, you should have:

  • Experience: 3+ years in accounts receivable operations, collections team coordination, or business operations, with proven experience supervising outbound outreach, managing team performance, and driving daily targets. Experience within subscription-based or recurring-service environments is strongly preferred.
  • Tools & Systems: Proficiency with CRM systems or operational field-service platforms (experience with platforms like PestPac is a plus; ability to master proprietary systems rapidly is essential). Hands-on familiarity with QuickBooks Online for transactional reconciliation and intermediate-to-advanced spreadsheet skills (e.g., Microsoft Excel or Google Sheets for KPI tracking and data analysis).
  • Analytics & Process: Demonstrated ability to interpret operational metrics, track aging receivables, identify performance gaps, and build or refine standard operating procedures (SOPs).
  • Mindset: Highly accountable, structured, and proactive, with strong operational judgment, conflict-resolution capabilities, and comfort directing and motivating a distributed or on-site team remotely.

During the interview process, you’ll have the opportunity to showcase your skills in the following areas:

  • Team Supervision & Accountability: How do you set daily targets, monitor team execution, and hold team members accountable to activity and recovery metrics?
  • Receivables Prioritization: How do you analyze an AR aging ledger to balance high-value collections against quick-turnaround accounts?
  • Payment Escalations & Customer Care: How do you resolve complex customer billing disputes while maintaining professionalism and brand reputation?
  • Cross-Functional Communication: How do you coordinate between operations and finance to ensure reporting accuracy without overstepping into general ledger accounting?
  • Process Improvement: How have you identified bottlenecks in a workflow and developed standard operating procedures to eliminate them?

Diversity of experience is core to Oceans. You are expected to work inclusively with individuals from a variety of backgrounds, ensuring that both personal and collective dignity are supported.

Role Specifications

This is a remote role, where you will be expected to work a split shift with some overlap with our client’s time zone. You will, however, be expected to be present for in-person training programs during your first 3.5 weeks with us. During the offer process, we’ll share more information about our benefits and compensation philosophy, considering both market trends and individual factors.
