Job Summary
The Assistant Patient Advocate is an entry-level position that supports the delivery of financial advocacy services to client patients. Working under the supervision of the Patient Advocacy Manager and at the direction of assigned Patient Advocates, this position assists with securing financial assistance funding, maintaining accurate case documentation, and communicating with patients, clients, foundations, and manufacturers.
This position supports the advocacy team in meeting client and program goals through accurate, timely processing within established workflows and consistent, service-oriented communication with patients and external partners.
Essential Duties and Responsibilities
- Support Patient Advocates and the Patient Advocacy Manager in meeting client and program goals and in improving day-to-day efficiency.
- Prepare and submit applications for patient financial assistance funding, and file and maintain complete, accurate records in the designated electronic file systems.
- Transmit information and documentation to patients, clients, foundations, and manufacturers by computer, mail, or virtual fax, and document updates and award status in the appropriate tracking systems.
- Maintain working knowledge of the financial advocacy services, programs, and resources available to client patients.
- Explain available programs, procedures, and services to patients and clients using appropriate medical and administrative knowledge.
- Place and receive patient calls using the virtual telephone application, including calls to request additional information, provide award status updates, and follow up on copay card and foundation claim status.
- Listen to and support patients experiencing financial hardship, and escalate client-related concerns to the assigned Patient Advocate.
- Schedule and coordinate the delivery of free drug for patients and document accordingly.
- Maintain records, reports, and files, and assist in the preparation of program and financial reports.
- Review operational and program reports for accuracy and to confirm that client and organizational goals are being met.
- Communicate professionally with clients, patients, vendors, and philanthropic program representatives, and support ongoing relationships with each.
- Attend staff meetings and consult with Patient Advocates and leadership on case, process, and workflow questions.
- Provide coverage for other support staff during absences as organizational needs arise.
- Maintain patient confidentiality and comply with HIPAA and all applicable federal, state, and client-specific requirements.
- Other duties as assigned.
Qualifications and Requirements
To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or abilities.
- High school diploma, GED, or high school equivalency certificate required.
- Previous experience in healthcare, patient financial services, or a medical office setting preferred.
- Working knowledge of administrative and clerical procedures, including word processing, spreadsheets, records management, and standard office practices.
- Proficiency with Microsoft Outlook, Word, Excel, and Teams, with the ability to learn electronic medical record systems such as Epic, Cerner, Meditech, Athena, Paragon, or Aurora, and client financial advocacy portals.
- Strong verbal and written communication skills in English, including accurate documentation and professional correspondence.
- Customer service orientation, with the ability to interact calmly and empathetically with patients who may be upset, confused, or experiencing financial distress.
- Basic mathematical and analytical skills sufficient to review financial information and program award data for accuracy.
- Strong attention to detail, with the ability to follow structured workflows while managing competing priorities and deadlines.
- Ability to work independently and collaboratively within a remote team environment.
- Understanding of HIPAA requirements and the appropriate handling of confidential patient and financial information.
