About the Team & Business Line
As a core business, Fund Administration is at the heart of Citco's operations, providing alternative asset and accounting services to clients. Our model supports the delivery of services including company secretarial services through a model where day-to-day operational activity is performed by other Citco’s offices, with local UK oversight, review and accountability retained in-market.
This is a unique opportunity to join a UK-focused CoSec Operations team working closely with local management, relationship teams, legal and compliance stakeholders, and oversee service delivery centres. The role will suit someone who can combine strong outsourced service delivery oversight with practical UK corporate governance knowledge, ensuring client work is completed to a high standard while also supporting local legal entity, governance and regulatory initiatives.
Your Role
Leadership & Management
Support local management in embedding and maintaining the UK CoSec Operations model, ensuring that outsourced activities performed by other offices are subject to effective local oversight, challenge and escalation.
Act as a key local point of coordination between UK stakeholders, client-facing teams and delivery teams, ensuring roles, responsibilities and hand-offs are clearly understood.
Collaborate with other departments and act as the link from CoSec Services into the wider CRM model, supporting joined-up service delivery and appropriate escalation of client or operational issues.
Foster a positive and collaborative culture across local and other Citco offices’ teams, focused on service quality, ownership, timely delivery and continuous improvement.
Where applicable, manage, coach or provide technical guidance to team members across multiple locations, acting as an escalation point for service delivery, quality and local review matters.
Client Relationship
Establish professional relationships with clients and key internal and external parties as required.
Support overall client relationship and service delivery for the relevant portfolio, with particular focus on the quality, timeliness and consistency of outputs delivered through the shared service centre model.
Understand and communicate client requests with Citco business functions, client service and support teams to promote effective internal communication and clear ownership of deliverables.
Act as a local subject matter contact for UK corporate governance, Companies House filing requirements, local corporate and legal entity matters, and relevant regulatory developments.
Act as the key liaison between operational teams, legal, compliance and relationship stakeholders for local corporate and regulatory matters.
Support Relationship Managers with service performance, client experience, operational risk matters and financial targets, as appropriate.
Service Delivery
Oversee outsourced deliverables performed by other offices, ensuring work is completed accurately, on time and in line with agreed procedures, service standards and local expectations.
Monitor and manage client SLAs, operational deliverables, work queues and service quality, proactively identifying delays, quality issues, training needs and process gaps.
Work closely with other offices to provide guidance, resolve queries, support issue remediation and ensure consistent understanding of UK requirements and client expectations.
Represent the local team in operational governance forums, service reviews and escalation discussions relating to outsourced delivery performance and control effectiveness.
Work closely with Client Service, Legal, Compliance and Operational teams to identify opportunities for process improvements and system development with the aim of minimizing operational risk and improving efficiencies.
Where relevant, act as a director, manager or other officer of client entities and attend board meetings, subject to local governance approvals and business requirements.
Local Entity, Governance & Regulatory Support
Support local UK legal entity and governance activities, regulatory driven initiatives, corporate governance good practice, Companies House obligations, board or committee governance, and internal policy implementation.
Assist with local projects and remediation activities that may not directly relate to client delivery but are important to the effective operation, governance and regulatory standing of the UK business.
Coordinate input from local management, Compliance, Legal, Risk and operational teams to support timely completion of local governance and regulatory deliverables.
Maintain awareness of relevant UK regulatory and corporate governance developments and help translate these into practical operational requirements for local and shared service centre teams.
About You
You have a university degree or equivalent professional experience in a relevant discipline.
You bring 5+ years of related work experience in corporate secretarial, corporate governance, fund administration, corporate services or a comparable financial services environment.
You have experience working with outsourced or shared service delivery models, including oversight of service quality, timeliness, controls, issue resolution and stakeholder management across jurisdictions.
You have practical knowledge of UK corporate governance, Companies House filing obligations, entity administration and, ideally, AML or other regulatory requirements relevant to corporate service providers.
You are comfortable balancing client service delivery responsibilities with internal local legal entity, governance, regulatory and remediation projects.
You have experience in an international environment and demonstrate flexibility, sound judgement and the ability to manage multiple priorities in a fast-paced environment.
You are fluent in English and have strong written and verbal communication skills, with the ability to explain local requirements clearly to both UK stakeholders and overseas delivery teams.
You have demonstrated leadership, coordination or stakeholder management experience, coupled with a proactive, collaborative and solutions-focused approach.
You are highly analytical, control-minded and comfortable working with processes, procedures, KPIs, reporting and operational risk matters.
You are proficient in Microsoft Office, especially Excel, PowerPoint and Outlook.
