About the Opportunity
At Kittiwake, we help nonprofits and mission-driven organizations grow their impact. As an Associate, you'll play an important role in helping us grow ours.

You will work directly with the CEO & Founder, supporting their day-to-day work and helping drive Kittiwake's business development. This is a role for someone who enjoys keeping things organized, takes pride in polished work, and wants to be close to how a growing business runs.

You'll organize the CEO's business development meeting scheduling and administrative work, manage Kittiwake's CRM and lead tracking, and help prepare proposals and materials that bring in new work.

You'll join a fast-growing company at the ground floor, with plenty of opportunity to learn and advance over time with the right initiative.
Role Overview
The Associate brings together two areas of contribution: business development and executive support for the CEO & Founder. This person is organized, adaptable, collaborative, and eager to learn.

This is a role for someone who enjoys working behind the scenes to help relationships, priorities, and internal systems run smoothly. The ideal candidate is detail-oriented, proactive, discreet, and comfortable balancing administrative coordination with growth-focused work.

Key Responsibilities
Business Development & CRM Support (60%)
Working closely with the CEO & Founder, you will support and organize all of Kittiwake's business development activities and systems. Responsibilities in this area will include:
  • Serve as the lead administrator for Kittiwake's CRM platform (Monday.com)
  • Maintain and organize lead pipeline, contact records, and opportunity tracking
  • Help identify, research, and qualify incoming leads and business opportunities
  • Coordinate follow-ups, scheduling, and task management related to business development activities
  • Prepare proposals, briefing notes, presentations, and meeting materials
  • Support conference materials and event collateral, and help coordinate business development events
  • Track business development activity and maintain reporting dashboards and systems
  • Help improve internal workflows and processes related to relationship management and growth
Client Project Support (25%)
You will support the CEO & Founder with meetings and administration, helping make sure their time is well spent and follow-through is strong. Responsibilities in this area will include:
  • Manage the CEO's calendar, scheduling, and meeting logistics
  • Prepare agendas, briefing materials, and background research ahead of meetings
  • Take organized meeting notes and track follow-ups and action items
  • Draft, format, and proofread correspondence, documents, and presentations
  • Keep files, records, and shared drives organized
  • Coordinate travel and event logistics as needed
  • Handle general administrative tasks that keep the business running smoothly

Requirements

Qualifications

  • 2–3 years of relevant experience in a professional services, nonprofit, executive support, or administrative role (new graduates with strong transferable experience are welcome to apply)

  • Exceptional organizational skills and an ability to manage multiple competing priorities with composure and precision

  • Discretion and sound judgment with confidential information

  • Strong writing and communication skills, with the ability to produce polished and professional materials

  • Comfortable producing polished documents, slide decks, and materials using tools such as Google Workspace, Microsoft Office, and Canva

  • A genuine interest in the nonprofit and philanthropic sector and a belief in the power of generosity to change communities

  • Personable, professional, and client-oriented, bringing care and intentionality to every interaction

  • Collaborative team player who is also capable of working independently and taking initiative

  • Experience with project management tools such as Monday.com, or similar is an asset


Benefits

Compensation & Benefits
  • Salary of $60,000–$65,000 annually, based on experience
  • Hybrid work arrangement based in Halifax, NS
