- Leads logistics planning and execution of live, virtual, and hybrid programs, including advisory boards, speaker trainings, KOL engagements, congress-related programs, and other stakeholder engagements.
- Serve as the day-to-day logistics lead, communicating requirements, timelines, risks, and next steps across internal teams, clients, stakeholders, and vendors.
- Manage program logistics, including registration, travel, venue sourcing, contracting, food and beverage, audiovisual needs, room setup, transportation, onsite staffing, and day-of-event execution.
- Develop and maintain program timelines, working agendas, itineraries, run-of-show documents, status updates, and post-program debriefs.
- Manage program budgets, vendor estimates, forecasts, expense tracking, billing reconciliation, and required documentation.
- Partner with Client Services and Project Management to ensure programs are delivered on time, on budget, and in accordance with client requirements, internal processes, industry guidelines, and compliance standards.
- Participate in weekly scheduled status meetings with clients and stakeholders from pre-launch through program operation and ensure all program objectives are performed.
- Program budget ownership including vendor estimates, reconciliations, and required documentation, financial forecasts, expense tracking, and billing reconciliation to ensure financial accuracy and compliance.
- 5-8 years of experience planning and executing external engagements including meetings, healthcare programs, agency events, or client-facing stakeholder engagements; experience with healthcare, pharmaceutical, life sciences, market access, or congress-related programs preferred.
- Experience with CRM platforms (eg. Veeva or similar)
- 4-year degree preferred; CMP designation preferred.
- Experience managing live, virtual, and hybrid event formats, including complex logistics and multiple vendor workstreams.
- Strong understanding of venue contracting, vendor management, negotiation, travel coordination, budget management, financial forecasting, expense tracking, and reconciliation processes.
- Ability to manage multiple programs simultaneously while maintaining attention to detail, timelines, budgets, and client expectations.
- Exceptional organization, communication, project management, and problem-solving skills, including the ability to remain calm and solution-oriented during real-time event challenges.
- Ability to communicate and collaborate effectively with clients, internal teams, faculty, HCPs, external partners, and all levels of management.
- Demonstrated proficiency with technology and software solutions; experience with meeting industry technology.
- Strong oral and written presentation skills required.
- Professional judgment, discretion, and comfort working within compliance-sensitive environments.
- Ability to travel up to 40%, including by air, car, rail, or other required transportation. #LI-Remote
