Role Summary

We are seeking an Associate to join the ETF Portfolio Administration team with a primary focus on derivatives back-office operations. This role will support the day-to-day operational oversight of derivatives held across our ETF platform, including swaps, listed and OTC options, and futures.

The ideal candidate will have at least two years of hands-on derivatives operations experience at an asset manager, investment manager, bank, fund administrator, or similar financial institution. ETF experience is preferred but not required.

The Associate will work closely with Portfolio Management, counterparties, custodians, fund administrators, and other internal teams to ensure derivatives transactions are accurately captured, reconciled, margined, settled, and reflected in the funds' books and records.

Key Responsibilities

  • Support daily back-office operations for derivatives portfolios, including swaps, options, and futures.

  • Perform daily trade, position, cash, and valuation reconciliations across internal systems, counterparties, custodians, and fund administrators.

  • Monitor the full derivatives trade lifecycle, including trade capture, confirmation, settlement, resets, expirations, exercises, assignments, terminations, and other lifecycle events.

  • Review and reconcile daily variation margin and collateral activity for OTC derivatives and futures.

  • Monitor collateral requirements and coordinate collateral movements with counterparties, custodians, and internal stakeholders.

  • Investigate and resolve trade, position, cash, margin, and valuation breaks in a timely manner.

  • Review counterparty statements and ensure activity is accurately reflected in the funds' accounting and portfolio records.

  • Support operational workflows related to swap resets, financing payments, option premiums, futures variation margin, and other derivative cash flows.

  • Coordinate with fund administrators and custodians to resolve accounting and settlement discrepancies.

  • Work closely with Portfolio Management and trading teams to address operational issues and ensure accurate portfolio information.

  • Maintain strong controls around derivatives processing, reconciliations, settlements, and collateral management.

  • Assist with onboarding new derivative counterparties, products, funds, and operational workflows.

  • Support testing and implementation of new systems, automation, and process improvements within Portfolio Administration.

  • Identify opportunities to reduce manual processes and improve operational scalability and controls.

  • Maintain procedures and documentation for derivatives operational processes.

  • Assist with internal and external audit requests and other control-related reviews as needed.

Required Qualifications

  • Bachelor's degree required.

  • Minimum of 2 years of derivatives back-office, middle-office, or operations experience at an asset manager, investment manager, bank, fund administrator, or similar financial institution.

  • Hands-on working knowledge of swaps, options, and futures and their associated operational lifecycle.

  • Understanding of derivatives settlements, cash flows, margin, collateral, and reconciliations.

  • Strong Microsoft Excel skills.

  • Strong analytical and problem-solving skills with the ability to research and resolve discrepancies.

  • High level of attention to detail and commitment to accuracy.

  • Strong organizational skills and ability to manage multiple priorities in a deadline-driven environment.

  • Strong written and verbal communication skills.

  • Ability to work effectively with internal teams as well as external counterparties, custodians, administrators, and other service providers.

Preferred Qualifications

  • Experience supporting ETFs or other registered investment funds.

  • Experience working directly with OTC derivatives counterparties and futures clearing brokers.

  • Familiarity with ISDA/CSA-related operational processes, collateral management, and margin workflows.

  • Experience with investment management, portfolio accounting, order management, or reconciliation platforms.

  • Exposure to Bloomberg or similar investment management systems.

  • Python, SQL, or other automation/data analysis experience is a plus but not required.

  • Experience participating in system implementations or operational automation initiatives is a plus.

Compensation: $110,000-$120,000 plus annual bonus
