Attachment Naming Assistant
Office Administration: Attachment Naming
Remote position | Full-time or part-time | 22.75–24.25 per hour
An online form may be complete but its supporting files arrive with names such as “scan001” or “final2.” The Attachment Naming Assistant helps an intake team identify and organize those uploads so reviewers can find the correct item. You would use the form context and approved naming rules, check that files open, and flag uncertainty. This is remote office administration in a web-based system, with customer service when a person must be asked for a missing or clearer document.
A file name should not become a guess
If a person uploads three similar images, do not assume which is the required identification or supporting form from a thumbnail. Open them only through the authorized system and compare against the checklist. Where a file is unreadable, note the issue and use the approved request for a replacement. If the form has two applicants, pay attention to whose attachment belongs with which record. Naming a file correctly helps, but preserving the right relationship is more important.
Some uploads will need no changes. Others may include duplicates, incorrect formats, or several pages saved separately. Follow the employer's process for combining, labeling, or referring these cases. Do not delete a source file just to make the folder neat. A reviewer should be able to see what arrived, what you renamed, and what still needs clarification.
Day-to-day work
- Open assigned online submissions and permitted attachments.
- Check that the files are readable and belong to the correct form.
- Apply supplied naming and category rules within your access.
- Keep multiple pages together under the team's procedure.
- Note duplicates or uncertain file types for review.
- Ask for a clearer copy when the approved process calls for it.
- Record the completed filing step and any missing item.
Previous customer service or office administration work is a plus, but not a condition. The employer will train you on file types, secure access, and naming standards. You should be comfortable navigating folders, comparing a document with a form, and writing a short note when a label cannot be verified. This is suitable for an attentive beginner.
Depending on the client’s hours, this remote records role may be part-time or full-time. A private home office keeps submitted documents out of shared spaces. The hiring company will confirm equipment and schedule.
A file can be correctly named but still stored with the wrong form. Compare the submission identifier and uploaded timestamp when several people have similar names. If the employer's convention includes a date, use the date specified in the guide rather than assuming it is the day you processed the file. You may encounter password-protected attachments or formats the viewer cannot open. Mark those as exceptions and follow the secure request procedure; do not move the file to a personal tool just to inspect it.
Some reviewers prefer the original filenames preserved alongside standardized labels. Follow the actual retention instructions. When a corrected upload replaces an earlier copy, note which version is pending review so a colleague does not use an obsolete page. This is a detail-focused role, and a clear exception note is an acceptable outcome when the right label cannot be confirmed.
If you receive a corrected attachment after filing the first version, use the team's replacement or versioning process. Do not overwrite the older item in a way that hides what a reviewer may have seen. Make the current review copy obvious.
A good file name lets a colleague find the right attachment without exposing unnecessary personal information. Follow the employer's approved naming pattern, use only fields you can confirm from the submission and keep the original file intact where the process requires it. Two documents with the same visible name may belong to different requests; compare the case reference before renaming or filing. If an attachment is unreadable, mislabeled or missing pages, mark it for review instead of inventing a description. The work is repetitive in a useful way, with care on every item.
Application information
Show an example of organizing files or catching an attachment in the wrong place. Paid experience is not necessary if you can explain how you checked your work. You will be taught the company's filing system. The hiring team may direct shortlisted people to complete an application on its website. The intake team will describe the documents involved when it contacts candidates.
