WHAT WE'RE LOOKING FOR
We are seeking a highly capable Executive Assistant to support two senior leaders at an innovative, in-person AI company: the Head of Partnerships (roughly 60% of the role) and the General Counsel (roughly 40%). This is a strategic, fast-paced role supporting leaders who operate with urgency, precision, and exceptionally high execution standards.
The two halves of this role look very different. On the Partnerships side, you'll support a fast-moving, externally focused leader and her global team across San Francisco, New York, London, and Japan, working closely with the office of the founders to bring senior leaders in front of key partners and clients. On the Legal side, you'll be a trusted partner to the Office of the General Counsel and a distributed legal team of ~20 across San Francisco, New York, London, and Singapore, handling highly confidential work with meticulous follow-through.
The ideal candidate is an adaptable, polished professional who is equally strong internally and externally, flexes naturally between very different leadership styles, and thrives where priorities evolve quickly and discretion is paramount. You are fluent with AI tools (or genuinely eager to learn) and enjoy helping the people around you work smarter.
This role is foundational to the company's administrative function. You will join a growing team where an ownership mindset, craftsmanship, and the ability to anticipate needs several steps ahead are deeply valued.
WHAT YOU'LL DO
Manage complex leader calendars across global time zones (Americas, Europe, and APAC), anticipating conflicts and balancing shifting priorities with polish and professionalism
Keep pace with fast-moving executives—quickly capturing, prioritizing, and driving to completion the many action items that come out of short conversations
Partner with the Office of the Founders to coordinate senior leadership participation in on-site partner and client meetings
Take notes in Legal team meetings and distribute action items weekly, ensuring clear ownership and follow-through
Build strong working relationships across the Office of the General Counsel, including the Deputy GC and Legal Operations, and with the Partnerships team and its operations partner
Prepare leaders for meetings with briefings, materials, and agendas, ensuring alignment on daily and weekly priorities
Draft internal and external correspondence on behalf of leadership, serving as a credible representative of the Legal and Partnerships functions
Use AI tools to streamline note-taking and everyday workflows, and help leaders adopt new tools
Coordinate domestic and international travel for leaders and teams, including accommodations, logistics, and documentation
Plan and execute internal events—offsites, trainings, and virtual sessions
Manage vendor relationships, contract coordination, and negotiation as needed
Support key Legal and Partnerships initiatives through document organization, preparation and printing of confidential materials, and research
Exercise exceptional judgment, confidentiality, and discretion with sensitive company and legal information
Establish and refine administrative systems and processes as part of the founding admin team
WHAT YOU BRING
5+ years of Executive Assistant or similar strategic support experience
Demonstrated success supporting multiple executives with very different working styles, and the flexibility to adapt your approach to each
Equal strength internally and externally: polished with partners and clients, and a trusted collaborator across internal teams
AI fluency—comfort using AI tools in your day-to-day work—or a strong eagerness to learn
Patience and a coaching mindset in helping leaders adopt new tools and workflows
Strong problem-solving fundamentals and the ability to shift tasks and priorities quickly
Strong organizational and analytical capabilities; able to interpret information and streamline workflows
High degree of discretion, integrity, and sound judgment
Advanced proficiency in Google Suite & Slack
Ability to work on-site in San Francisco 4 days per week; ability to travel occasionally (~1x/quarter)
Experience supporting executives in a fast-growing, in-person startup environment
Demonstrated ability to build processes in a scaling organization
