Staffing for DoctorsAbout the Role We are seeking an organized, dependable, and experienced Bilingual Medical Virtual Assistant to support our healthcare team. The ideal candidate brings a proven background in specialty practice operations, demonstrating strong expertise in end-to-end procedure scheduling, patient check-out, prior authorizations, and complex clinical coordination across hospitals, surgery centers, and imaging facilities. Core Responsibilities Procedure & Clinic Scheduling: Organize and maintain the procedure schedule to maximize provider availability and facility capacity. Proactively monitor calendars to fill open time slots, schedule/reschedule clinic visits, and ensure daily procedure targets are met. Pre-Procedure Coordination & Patient Preparation: Coordinate pre-procedure requirements and medical clearances. Distribute and review detailed pre-procedure instructions directly with patients, covering preparation steps, arrival times, medication management, fasting guidelines, and transportation needs. Clinical Administrative Support: Manage patient check-out workflows, gather outside medical records, process primary care/specialty referrals, coordinate laboratory and imaging orders, and submit medication refills per provider protocols. Prior Authorizations & Inter-Facility Communication: Complete prior authorizations with insurance companies and communicate seamlessly with patients, providers, hospitals, surgery centers, pharmacies, and outside medical offices. Healthcare Experience: Minimum 2 years of hands-on experience working as a Virtual Medical Assistant or Administrative Assistant in a U.S. medical office or specialty practice setting. Scheduling Expertise: Demonstrated success coordinating complex procedures from initial booking through final completion, maintaining optimal daily appointment density. Language Skills: Full bilingual fluency in English and Spanish with clear, professional verbal and written communication. Clinical Administrative Competency: Solid understanding of prior authorizations, medical clearances, referral tracking, and handling diagnostic/lab orders. Detail-Oriented & Dependable: Exceptional organizational skills with the ability to manage multi-step administrative workflows independently in a remote environment. Please note that this is a full-time contractor position (40 hours per week) with a starting pay rate of $6 per hour depending on skillset and experience. The schedule is Monday through Friday, 9-5 PST.
