About the Role As a Billing Coordinator – Freight & Logistics , you'll be responsible for managing freight-related billing activity and helping ensure orders move efficiently from shipment through final invoicing. You'll investigate pricing and freight discrepancies, work through order holds, review carrier and vendor invoices, communicate with Account Executives and internal teams, and coordinate with carriers such as UPS and FedEx to resolve issues. This position requires more than simply processing invoices. You'll be expected to independently investigate problems, understand the financial impact of freight adjustments, and take ownership of issues through resolution. Success in this role requires strong attention to detail, analytical thinking, communication skills, and the ability to manage multiple priorities in a fast-paced billing environment. What You'll Do Freight Billing & Invoice Management Review vendor and carrier invoices and compare charges against corresponding sales orders Identify and resolve pricing and freight discrepancies before invoicing Independently manage the invoicing of assigned orders Review Accounts Payable invoices related to local and third-party freight charges Validate freight charges and ensure appropriate costs are applied to orders Understand and reconcile differences between actual and published freight rates Investigate freight rate changes and determine the reason for pricing differences Process freight adjustments and ensure changes are accurately reflected in billing Maintain consistent and timely invoicing in accordance with established billing KPIs Work toward maintaining approximately 90% of invoicing within the 0–14 day aging bucket Freight, Carrier & Logistics Support Work directly with carrier representatives, including UPS and FedEx , to research charges and accelerate issue resolution Manage billing issues involving additional freight vendors and carriers beyond UPS and FedEx Review and resolve international (INT) and Less-Than-Truckload (LTL) freight holds Work with imported freight charges and related order holds Coordinate with warehouse teams to resolve shipping, coding, and order discrepancies Communicate carrier rate changes and relevant freight updates to appropriate internal stakeholders Assist with accrual reporting and freight-related financial tracking Work with internal program teams to resolve freight and order holds Order Management & Financial Accuracy Review and understand sales-order components, including: Cost Selling price Freight Commission Margins Adjustments Understand how freight changes affect the overall financial accuracy of an order Independently research and resolve billing and freight holds Review order details and supporting documentation to determine appropriate billing actions Identify discrepancies and make appropriate adjustments within established procedures Ensure orders are properly documented before final invoicing Escalate complex or unresolved orders to leadership when necessary to prevent invoicing delays Communication & Issue Resolution Maintain direct and professional communication with Account Executives, customers, carriers, warehouse teams, and other internal departments Communicate effectively with Account Executives to resolve freight and billing concerns Independently diagnose billing situations and work toward one-touch resolution whenever possible Clearly explain freight rate discrepancies and billing adjustments to internal stakeholders Gather the necessary information and documentation to resolve complex freight issues Escalate issues with clear context, supporting information, and recommended next steps Maintain ownership of issues through final resolution Reporting & Performance Prepare, maintain, and update Excel spreadsheets used for billing, freight tracking, auditing, and reporting Support freight accrual reporting and reconciliation activities Monitor assigned orders and prioritize work according to deadlines and business impact Meet established billing productivity and accuracy expectations Participate actively in team meetings by identifying: Recurring billing or freight trends Exceptions Potential resolutions Process improvement opportunities Maintain accurate records and documentation related to billing and freight activity What We're Looking For Required Qualifications 12–18+ months of professional Billing experience or equivalent industry experience Ability to independently manage the invoicing of orders Previous experience in Billing, Accounts Payable, Accounts Receivable, Finance Operations, Logistics, Freight, or a related function Strong attention to detail and numerical accuracy Strong problem-solving and analytical skills Ability to investigate discrepancies and independently determine appropriate next steps Proficiency with Microsoft Excel, Word, and Outlook Strong computer and internet skills Effective written and verbal communication skills Excellent organization, time-management, and prioritization abilities Ability to manage multiple responsibilities and perform effectively under deadline pressure Professional and solution-oriented communication style Ability to work independently while contributing effectively within a team Flexibility to work overtime when business needs require it Data Entry Requirements Typing speed of approximately 40+ WPM Strong numerical and 10-key data-entry skills Ability to process high volumes of billing and financial information accurately Preferred Qualifications Experience with freight or logistics billing Experience reviewing carrier or vendor invoices Familiarity with UPS, FedEx, LTL, international freight, or other transportation carriers Experience working with freight rates, shipping charges, and carrier discrepancies Previous experience in Accounts Payable and/or Accounts Receivable Experience working with ERP, billing, or financial management systems Experience with freight accruals and reconciliation Understanding of sales orders, margins, commissions, costs, and selling prices Experience working in a high-volume corporate or B2B billing environment Who Will Succeed in This Role?
