Role Overview

The Lead Billing Coordinator is responsible for leading and coordinating the end-to-end billing process across the European region, ensuring that billing is completed accurately and on time, in collaboration with Contract Owners, Finance & Operations and other relevant stakeholders.

This is a hands-on leadership role, combining responsibility for coordinating the Billing team with direct involvement in billing, contract and project setup and related activities.

The role will have overall responsibility for ensuring effective control and visibility throughout the billing process, promoting consistency, accountability and continuous improvement across the region.

Key Responsibilities

  • Lead, coordinate and support the Billing Coordinators and Billing Administrators across the European region, ensuring appropriate allocation of responsibilities, priorities and workloads.
  • Oversee and actively contribute to the end-to-end monthly billing process, personally managing billing activities alongside the wider Billing team, ensuring that invoices are accurate, appropriately reviewed and issued in line with agreed deadlines and client requirements, including invoicing through D365, e-billing platforms and client portals, as applicable.
  • Work closely with Contract Owners, Billing Coordinators and Finance & Operations through regular billing reviews and ongoing coordination to confirm billing requirements, maintain alignment, resolve outstanding matters and ensure timely completion of billing activities.
  • Collaborate regularly with Finance & Operations to align billing with the monthly management accounts process, including the review of expected billing, unbilled work and items outstanding from previous periods, together with any necessary month-end billing reconciliations.
  • Retain responsibility for reviewing and validating billing information, ensuring that the amounts invoiced are reasonable, appropriately supported and consistent with the relevant contractual and commercial arrangements.
  • Take responsibility for the accurate and timely setup and ongoing maintenance of contracts, opportunities and projects in D365, including coordinating the work undertaken by the Billing team and personally carrying out these activities as an integral part of the role. This includes ensuring that relevant contract documentation, system records and any off-system arrangements are appropriately maintained.
  • Oversee and directly participate in the processing and administration of related billing activities, including credit notes, invoice reissues, reimbursable expenses, purchase order requirements and other client-specific billing arrangements.
  • Act as the principal billing contact and escalation point for Partners, Contract Owners, Finance & Operations and other relevant stakeholders, providing guidance on billing, contract setup and related processes.
  • Monitor billing performance, outstanding actions, work in progress and exceptions, providing regular updates and appropriate reporting to management.
  • Ensure that accurate and complete billing records, supporting documentation, trackers, shared inboxes, document storage and system information are maintained by the Billing team in accordance with agreed processes and internal controls (e.g. the Fee Day Book, F&O and Client PO trackers, Sales and Purchase Ledger inboxes and invoice records stored in OneDrive).
  • Ensure that billing activities comply with internal policies, contractual requirements, client procedures, applicable VAT rules and relevant financial controls.
  • Support and develop the Billing team through appropriate guidance, training, performance management and knowledge sharing.
  • Identify and implement improvements to billing processes, systems and controls, promoting consistency and efficiency across the European region and the wider business.
  • Undertake any other billing, contract administration, financial coordination or related activities reasonably required to support the effective operation of the function.

Candidate Profile

The successful candidate will demonstrate a proactive, collaborative and accountable approach, combining strong attention to detail with the ability to coordinate teams and manage senior stakeholders across multiple countries.
  • Previous experience in billing, contract administration, project finance or a similar role, preferably within an international organisation.
  • Previous experience leading, supervising or coordinating a billing or finance administration team.
  • Strong understanding of end-to-end billing processes, financial controls and month-end requirements.
  • Experience working with senior stakeholders, including Partners, Contract Owners and Finance & Operations teams.
  • Ability to review and challenge billing information constructively, taking responsibility for accuracy and completion.
  • Strong organisational, prioritisation and problem-solving skills, with the ability to manage multiple deadlines.
  • Demonstrable experience implementing process improvements and driving operational efficiency.
  • Knowledge of VAT regulations
  • Experience with D365 and e-billing platforms is desirable.
  • Strong communication skills and a collaborative, service-focused approach.
  • High level of discretion and commitment to confidentiality.
  • Willingness to travel to European offices where required.
  • Fluency in English is essential.
