The Role
We are looking for a Business Change & Transition Coordinator to support a major NIS2 transformation programme within a large, complex organisation.

Support the implementation of the Network and Information Systems Directive (NIS2), focused on protecting critical services against cyber threats. Working within the Transformation Change workstream, the role supports stakeholder communications, the transition to business as usual (BAU), programme closure and hypercare activities. The role is suited to a candidate with 3–4 years’ relevant experience who can coordinate defined change activities, with guidance and review from the Manager, Programme Manager and SMEs.

Key Responsibilities
Work with the Transformation Change team to determine effective ways to cascade NIS2 programme information across the wider teams. Use inputs gathered from SMEs and other team members to support communications and help embed the transition to BAU.

• BAU Transition and SharePoint Readiness
• Coordinate and support BAU transition sessions, including scheduling, sourcing distribution lists (DLs) and sending invitations. Session planning is expected to be completed by November.
• Work alongside SMEs to prepare programme materials and SharePoint content for BAU use.
• Review existing SharePoint documents, remove references to the Programme Team and redirect users to new points of contact where required.
• Community of Practice Coordination
• Gather and coordinate the inputs required for quarterly Community of Practice (CoP) sessions, working from an agenda that will already have been planned.
• Support the facilitation of CoP sessions by sending invitations and coordinating follow-up communications.
• Programme Closure and Stakeholder Communications
• Draft programme closure communications with the Programme Manager and SMEs. Inform affected stakeholders by email about new points of contact and website updates, and maintain open communications through the Viva Engage page.
• Finalise the SharePoint transition, ensuring that the website no longer refers to the Programme Team.
• Cascade all relevant BAU communications to affected stakeholders.
• Send programme closure and BAU communications from the Programme Mailbox to relevant stakeholders, using the distribution lists held in the programme area.
• Support the Programme Manager as needed during the hypercare period. Activities may include developing and cascading clarification communications and ensuring that the programme closure checklist is completed.
• Support closure checklist activities, including archiving programme documents, ensuring that incoming mail is no longer directed to the Programme Mailbox and redirecting correspondence where needed.

Experience & Skills Required
• 3–4 years’ relevant experience in business change, transformation delivery, programme coordination or stakeholder communications, including supporting multiple stakeholder groups.
• Practical experience drafting stakeholder communications from SME and programme team inputs, incorporating feedback and coordinating review and approval.
• Hands-on experience maintaining SharePoint content and using Microsoft 365 tools to coordinate meetings, manage documents and distribute communications.
• Experience organising workshops, transition sessions or stakeholder forums, including invitations, materials and follow-up actions.
• Experience contributing to operational handovers or BAU transitions under the direction of a programme or change lead, including updating documentation, confirming points of contact and tracking outstanding activities.

Key Skills
• Change communications: ability to draft clear, audience-appropriate messages from SME inputs and agreed templates, covering programme closure, new points of contact and BAU arrangements, for review by the relevant leads.
• Stakeholder engagement: ability to work collaboratively with programme managers, SMEs and business teams, gathering inputs and coordinating reviews and approvals.
• Planning and coordination: strong organisational skills to schedule transition and Community of Practice sessions, manage distribution lists and invitations, and track follow-up actions.
• Digital content management: ability to maintain SharePoint pages and documents, update contact information and support communications through Viva Engage and programme mailboxes.
• Attention to detail: ability to check communications and documents for accuracy, consistency and outdated programme references, and maintain complete closure records.
• Delivery coordination: ability to manage assigned activities and competing deadlines independently within an agreed plan, seek guidance when needed and escalate issues or dependencies promptly.
• Transition support: ability to coordinate handover activities, maintain closure checklists and respond to clarification needs during hypercare.
