OVERVIEW:

The Business Development & Proposal Coordinator is an early-career role supporting The Canton Group’s business development and proposal efforts. This role will help find new government and commercial opportunities, coordinate responses with our teaming partners, support proposal writing and submission, and keep our HubSpot CRM accurate and up to date. This is a great fit for someone who is organized, enjoys writing, and is genuinely excited about AI, including agentic tools like Claude that can research, draft, and carry out multi-step tasks.

RESPONSIBILITIES:

Reasonable accommodation may be made to enable individuals with disabilities to perform these essential functions.

  • Monitor procurement portals, bid boards, and other sources to identify new RFPs, RFIs, and RFQs; help qualify opportunities and prepare short recap summaries for leadership review.
  • Coordinate proposal responses with teaming partners and subcontractors by scheduling meetings, requesting and tracking their inputs, and sharing status updates.
  • Build and maintain strong relationships with teaming partners, subcontractors, and clients through regular check-ins, timely follow-up, and clear, professional communication.
  • Help organize proposal responses, including building compliance matrices, outlines, and proposal schedules.
  • Write and edit proposal sections such as company qualifications, past performance, staff resumes, and standard forms; help maintain a reusable content library.
  • Format, assemble, and submit final proposal packages, ensuring all required forms, certifications, and attachments are complete and on time.
  • Keep HubSpot up to date with opportunities, deal stages, partner and client contacts, deadlines, and submission outcomes.
  • Use Claude and other AI tools daily to speed up research, RFP summaries, compliance matrices, first drafts, and content reuse, always reviewing output for accuracy and protecting confidential information.
  • Help build agentic AI workflows, such as having Claude scan bid sources, pre-qualify opportunities, or update HubSpot records, and share ideas for improving how the team finds, writes, and tracks proposals.
  • Manage the administrative side of business development, including teaming agreements, NDAs, vendor registrations, certifications, and other required paperwork, keeping records organized, current, and easy to find.
  • Maintain version control and organized file structures so the team always works from the latest content.
  • Help track proposal results and debrief feedback to improve future submissions.

REQUIRED EDUCATION & EXPERIENCE:

  • 1–3 years of experience in proposal coordination, business development support, sales operations, technical writing, or a related role.
  • Bachelor’s degree or equivalent years’ experience in a related field (e.g., Business, Communications, English, Marketing, or IT).
  • Strong writing, editing, and proofreading skills with close attention to detail.
  • Hands-on experience using generative AI tools such as Claude for writing, research, or productivity, and enthusiasm for learning more.
  • Excellent organizational skills and the ability to manage multiple deadlines at once.
  • Clear, professional communication with internal teams, partners, and clients.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
  • Eagerness to learn government contracting, procurement processes, and the Software Development Life Cycle (SDLC) and Agile methodologies.
  • Adhere to the organization’s security policies, procedures, and controls to protect confidential information and ensure compliance with SOC 2 requirements.

PREFERRED QUALIFICATIONS:

  • Exposure to state, local, education (SLED) or federal government proposals.
  • Experience setting up or using agentic AI tools that take multi-step actions autonomously (e.g., Claude with connected apps, custom agents, or automations).
  • Experience with HubSpot or another CRM.
  • Familiarity with procurement portals such as SAM.gov or state eProcurement systems.
  • Experience with proposal management software or content management systems.
  • Interest in pursuing APMP Foundation certification.
