Permanent Full-time
Be the organisational powerhouse behind Lake Macquarie's beaches, pools and leisure services!
- Support our Leisure Services Manager and leadership team in a diverse, high-level administrative role.
- Help coordinate community programs, drive business improvements and keep our Leisure Services running smoothly.
- Bring your initiative, organisational expertise and passion for our beaches, pools and leisure industry to a role where no two days are the same.
LET’S EXPLORE THE JOB
Our Leisure Services team is seeking a proactive, highly organised and solutions-focused Business Management Assistant to provide high-level administrative and business support to the Manager Leisure Services and broader leadership team.
From supporting the management of our beaches and swim centres to coordinating beach safety education programs, business reporting and improvement initiatives, you'll play an important role behind the scenes of services our community loves.
This is a varied and collaborative role where you'll work across the leadership team, keeping priorities on track, coordinating important communications and identifying better ways of working.
What you’ll be doing
- Provide high-level administrative support to the Manager Leisure Services, including diary and email management, meeting coordination and managing competing priorities.
- Coordinate departmental correspondence, Council reports, Councillor and MP requests, customer enquiries and sensitive communications.
- Monitor business plan actions, coordinate corporate reporting and maintain accurate departmental records and documentation.
- Lead and support business improvement initiatives to streamline processes and enhance service delivery.
- Act as a key contact and subject matter expert for Council's corporate systems, supporting colleagues with processes, policies and technology.
- Coordinate meetings, events, workshops, training and community programs, including school beach safety education initiatives.
- Manage financial reconciliation processes for Council's swim centres, working closely with the Finance team to support compliance and accuracy.
The position may include:
- Occasional shift, weekend or on-call work.
- Travel and work across multiple Council sites

LET’S HEAR ABOUT YOU
We're looking for an experienced administration professional who thrives on variety, enjoys supporting a busy leadership team and takes pride in keeping things running smoothly.
You'll be a confident communicator and natural problem-solver who can anticipate needs, manage competing priorities and build positive relationships. You'll bring sound judgement, discretion and a proactive approach to improving business processes and customer experiences.
While experience in the leisure, aquatic or local government sectors would be an advantage, it's not essential. What matters is your administrative expertise, willingness to learn and genuine enthusiasm for supporting the beaches, pools and leisure programs that connect our community.
Criteria you will bring;
- A Certificate IV or higher in Business Administration (or similar), and/or extensive experience in office or business administration.
- Demonstrated experience providing high-level administrative support, managing calendars, coordinating correspondence and prioritising competing demands.
- Strong written and verbal communication skills, with sound judgement, discretion and a commitment to excellent customer service.
- Experience investigating issues, improving business processes and implementing practical solutions.
- Confidence managing complex customer enquiries and working collaboratively with stakeholders.
- Advanced skills in Microsoft 365, particularly Outlook, Teams, Word, Excel and PowerPoint.
- Confidence learning new business systems, supporting colleagues and adapting to changing processes and technology.

- Competitive salary from $90,202.90 to $104,831 per year plus 12% superannuation
- Enjoy greater work-life balance with flexible working arrangements, including hybrid work options and the choice of a 4-day condensed 35-hour working week or a 9-day fortnight.
- Work in a unique area of Council supporting beaches, swim centres and community leisure programs.
- Enjoy a diverse role combining high-level administration, business improvement, financial coordination and stakeholder engagement.
- Build relationships and gain exposure to leadership and operations across Council.
