We'd love to have you join us as a part-time (12-15 hours per week) Business Operations and People Coordinator! What You'll Do The primary function of the Business Operations and People Coordinator is to support the Sr. Director of Business Operations with administrative and business tasks, communications, and project management. This individual will communicate across several audiences and accountability teams including CPG associates, firm leadership, and vendors. Human Resources (HR): Responsible for internal team communications, including weekly updates, leadership presentations, and staff announcements and recognition (birthdays, anniversaries, etc.). Coordinates and prepares materials for virtual and in-person team meetings. Coordinates culture and engagement activities for the firm's associates. Completes payroll and benefits administration, including bi-weekly processing of firm payroll and tracking of firm-provided associate benefits. Performs firm HR administrative duties such as maintaining associate files and databases. Supports the coordination of new hire onboarding and orientation. Assists with job posting and recruiting for open firm positions . Tracks and registered associates for trainings and events. Maintains the accuracy and completeness of the firm's associate directory. Information Technology (IT): Acts as the IT subject matter expert and provides guidance to internal associates on the usage of our tools and technology. Supports tech implementation and training for firm associates . Coordinates with external IT support team on IT tickets. Tracks and coordinates IT software and hardware access for firm associates. Business Operations & Office Administration Support: Weekly monitoring of employee time tracking. Processes and reconciles employee expense reimbursements for journal entries. Supports closing out the end of month and monthly billing activities, including drafting accurate client invoices. Tracks and manages reconciliation of third-party vendor accounts including iSolved , Mineral, and The Predictive Index. Maintains shared office space by coordinating maintenance items with building managers, ensuring office is properly stocked with office supplies, food and beverages, and coordinating conference room reservations. Helps with registration, set up, and tear down for firm events. Coordinates ordering of firm-branded marketing collateral and promotional items for internal and external use. Participates in the planning and execution of events for the firm and the firms' leaders Provides backup and support to Growth and Communications Manager as needed to balance workload and support special projects. Supports the Sr. Director of Business Operations with administrative and business tasks, communications, and project management. Assists in elevating the operations function of the firm to align with CPG mission, vision, values and culture. Orders office supplies and associate gifts. Monitors the firm's shared inbox, ensuring timely routing and response to incoming inquiries. Other duties as required to advance the mission of the firm. What You'll Bring Two or more years of administration experience in a small business environment. Associate's degree in business administration or related field or equivalent experience. Excellent interpersonal and communication skills through verbal, listening, and written communication, with people from diverse backgrounds and experience One or more years of experience in providing HR support. One or more years of experience in general office administration, payroll, accounts receivable, and employee benefit administration, preferably in a small business. Proficient skills in Microsoft Suite especially Microsoft Outlook, Microsoft Teams, Microsoft Word, Microsoft Excel, and Microsoft PowerPoint. Additional knowledge of the following web-based applications preferred, but not required : accounting software, project management, payroll processing systems, artificial intelligence platforms, cloud-based graphic design software, and software-as-a-service platforms.
