Job Title: Business Operations Specialist
Monthly Pay: $3,721 - $5,558 USD per month
Summary:
An internal operations request arrives, gets checked, assigned, tracked, and closed with clear notes about the outcome. The Business Operations Specialist supports this workflow so colleagues can move routine business operations forward without losing track of responsibilities or outstanding questions. This position sits within the operations team and works under an operations team lead. It works with department contacts, request owners, and managers to clarify needs and keep shared information current. This is a fully remote, desk-based position offering work from home in Michigan, United States. The role requires a 40-hour weekly commitment. Working days and shift times may vary.
Job Responsibilities:
- Review incoming requests from a shared queue and email, identifying the requested outcome, relevant department, current owner, and expected completion date before work begins.
- Check submissions for missing details, duplicate requests, and unclear instructions; contact the requester for clarification rather than making assumptions about scope or priority.
- Enter tasks and updates in a project management tool such as monday.com, keeping ownership, dependencies, due dates, and next actions visible to the operations team.
- Maintain operational trackers using a spreadsheets and data entry tool such as Google Sheets, checking formulas, consistent categories, and source figures before sharing updates.
- Complete assigned operational checks, compare task progress against agreed steps, and flag missing inputs that could prevent another colleague from completing their work.
- Follow up with request owners when updates are overdue, confirm revised expectations, and record the next action so unfinished work remains visible.
- Escalate conflicting priorities, repeated delays, or exceptions outside established instructions to the operations team lead, including a concise description and relevant background.
- Prepare routine summaries of key performance indicators, using pivot tables and conditional formatting to highlight aging requests, recurring obstacles, and changes in completion patterns.
- Support basic business analysis by comparing recurring request patterns and suggesting practical changes to tracking fields or handoffs for team lead review.
- Confirm completion with the request owner, check that outstanding questions are resolved, and close tasks; quality is judged through accuracy, turnaround, complete notes, and consistent follow-up.
Qualifications:
- High school diploma or equivalent.
- About 1-2 years of experience supporting business operations, shared task queues, or internal coordination preferred.
- Understanding of routine operational workflows, task ownership, dependencies, and the importance of clear handoffs between departments.
- Familiarity with the project management and spreadsheet tools described above, including task updates, filters, formulas, and checking information against its source.
- Ability to interpret basic performance measures and use pivot tables or conditional formatting to make operational trends easier to review.
- Clear written and verbal communication for clarifying requests, explaining status, and presenting concise questions to colleagues and the team lead.
- Careful approach to handling internal business information, following established instructions, and asking for guidance when requests fall outside assigned responsibilities.
- Access to a reliable computer, high-speed internet, and a quiet private workspace; availability for the 40-hour weekly commitment and agreed working days and shift times.
- Authorization to work in the United States.
Perks & Benefits:
- Fully remote work from home in a desk-based operations position.
- Structured onboarding and training on the named systems, including monday.com and Google Sheets, with guidance on routine workflows and escalation steps.
- Regular check-ins with the team lead to review priorities, discuss questions, and receive feedback.
- Opportunities to build business analysis, operational efficiency, spreadsheet reporting, and cross-department communication skills through daily work.
- Health coverage, paid leave, maternity leave, bonus opportunities, and stipends.
