Business Support Specialist (SimPro Specialist)
Remote | Philippines | Full-Time Php 40,000/month - 60,000/month
Australian Business Hours (ACST hours), 5:30am–2:30pm PHT
Long-Term Remote Role
If you're an experienced operations professional who can own a job from first booking to final sign-off, make sound calls when plans change at short notice, and keep every system accurate without being chased, keep reading.
This is not an entry-level admin role or a "follow the checklist" position.
Solar Power Direct, a scaling South Australian solar business, is looking for a decisive, self-reliant coordinator. You'll take end-to-end ownership of field-service jobs across scheduling, purchasing, job monitoring and system updates. When things change, you'll be the person who assesses the situation and takes the right action.

What You'll Own
End-to-End Job Management
- Own assigned jobs across the full lifecycle, from booking and purchasing through installation, completion and follow-up.
- Make practical, timely decisions on difficult or changing situations, such as sudden reschedules, supplier delays or site issues, without needing constant supervision.
- Coordinate proactively with the internal team on job status, open scheduling tasks and outstanding purchasing items.
- Deliver work right the first time, with minimal to zero rework.
Scheduling & Job Monitoring
- Add jobs to SimPro and connected calendar tools accurately, and confirm client appointments on time.
- Monitor job progress and update job statuses based on the outcome, such as job completed, return visit required, reschedule needed, or client follow-up required.
- Manage scheduling so that site call-outs run with minimal issues.
Purchasing & Equipment Accuracy
- Raise and track Purchase Orders in SimPro, and make sure the correct equipment and components are ordered for each job.
- Chase supplier confirmations and keep records up to date in all systems.
- Flag missing equipment, stock discrepancies or cost issues immediately, then drive them to resolution.
Systems & Data Integrity
- Keep data 100% accurate across SimPro, Tradify and HubSpot.
- Understand how HubSpot deal stages connect to SimPro job statuses, and keep both in sync.
- Use AI tools such as ChatGPT or Claude to summarise supplier threads, speed up follow-ups and improve workflows.
- Spot process gaps and suggest practical improvements.
Requirements
This role is a great fit if you:
- Make sound decisions under pressure. You can assess a situation, weigh the options and take the right action, rather than applying the same process every time.
- Are self-reliant. You work independently, manage several jobs at once, and don't need daily hand-holding.
- Think end to end. You understand how scheduling, purchasing, installation and client follow-up connect across a job's lifecycle.
- Have trades job management experience. You've worked hands-on with SimPro (strongly preferred), or with a similar platform such as Tradify, AroFlo or ServiceM8.
- Have relevant industry experience. You've done operations or project coordination in solar, electrical, trades or field service.
- Are a data guardian. You catch errors before they reach install day and treat discrepancies as problems to solve.
- Know CRMs. Experience with HubSpot or a similar CRM is a strong advantage.
- Are AI-adaptive. You already use AI tools to work faster and smarter.
- Communicate clearly and confidently. Your written and spoken English is professional and fluent.
- Can commit fully. This is an exclusive, full-time position. Candidates must not hold any other ongoing roles or side work.

Within 2–3 months:
- Systems mastery: You're proficient in SimPro and familiar with how HubSpot deal stages align with the SimPro workflow.
- Jobs run smoothly: Job statuses are updated promptly and accurately, and site call-outs aren't disrupted by scheduling or purchasing errors.
- Purchasing is clean: The correct equipment is ordered on time, and discrepancies are flagged and resolved straight away.
- Rework is minimal: Your work is right the first time.
- You've earned trust: The team relies on your judgement to handle changes and difficult calls independently, and your updates don't need double-checking.
