The OpportunityWe are looking for a hands-on Call Center Manager to lead the day-to-day performance of the appointment-setting team. You will create structure, coach representatives, monitor activity and call quality, and keep follow-up moving so qualified medspa leads receive a fast, professional experience and arrive for their appointments.This role is best suited to a practical people manager who is comfortable working inside the operation—not just reporting on it—and who can turn performance data into clear coaching and process improvements.
What You’ll Own- Lead and support the day-to-day work of the call-center / appointment-setting team.
- Maintain coverage, clear priorities, and consistent execution throughout the 10:00 AM–6:00 PM ET schedule.
- Track lead response, outreach activity, contact rates, bookings, appointment quality, follow-up completion, and show-up performance.
- Review calls and messages for quality, accuracy, professionalism, qualification, and booking effectiveness.
- Coach representatives through regular feedback, call reviews, role-play, and individual performance plans.
- Improve scripts, objection handling, lead-routing, follow-up sequences, and operating procedures based on real call data.
- Keep CRM records and pipeline stages accurate so every lead has a clear owner and next step.
- Identify performance gaps early, resolve day-to-day issues, and escalate material risks to leadership.
- Share concise performance updates, trends, and recommended actions with the leadership team.
- Support onboarding and training as the team grows.
- Proven experience managing a call center, appointment-setting team, inside-sales team, or comparable phone-based operation.
- Strong coaching skills and evidence of improving representative performance—not simply supervising schedules.
- Comfort with call review, scorecards, CRM/pipeline management, and daily KPI reporting.
- Working knowledge of lead response, qualification, appointment booking, confirmation, and no-show reduction.
- Clear written and spoken English with confident, professional communication.
- High ownership, operational discipline, and the ability to solve problems without waiting for constant direction.
- Availability to work Monday–Friday, 10:00 AM–6:00 PM Eastern Time.
- Experience in medspa, healthcare, aesthetics, home services, or another appointment-driven industry.
- Experience in a marketing agency or performance-based lead-generation business.
- Experience managing distributed or remote representatives.
- Consistent team coverage and fast follow-up on new leads.
- Reliable contact, qualification, booking, and show-up performance.
- Improved call quality and measurable development of individual team members.
- Accurate CRM hygiene, clear reporting, and fewer leads lost through missed follow-up.
- Documented, repeatable call-center processes that can scale with the business.
