Summary:
Each shift begins with candidate emails, interview updates, and scheduling requests waiting for attention. This role keeps candidates informed throughout the recruiting process, helping them understand next steps and arrive prepared for interviews. - Check candidate profiles, recruiting stages, and recruiter instructions in an applicant-tracking system such as Workday before responding or arranging next steps.
- Answer candidate inquiries about interview arrangements and the recruiting process using approved information, referring selection decisions and unfamiliar questions to the assigned recruiter.
- Coordinate interviewer availability through a scheduling and calendar tool such as Microsoft Outlook, checking meeting duration, attendee details, and potential calendar conflicts.
- Send interview invitations with confirmed meeting links, preparation guidance, and contact information so candidates know what to expect and whom to contact.
- Track confirmations and follow up with candidates or interviewers when responses are missing, flagging approaching interviews that still need confirmation to recruiters.
- Update candidate stages and interaction notes after each exchange, recording scheduling changes, outstanding questions, and the next action without adding unsupported assumptions.
- Respond to cancellations and rescheduling requests, coordinate replacement interview times, and escalate repeated conflicts or unresolved access issues to the recruiting team lead.
- Check completed work for accurate invitations, timely responses, complete notes, and consistent follow-up; use feedback from the recruiting team lead to improve.
- Close each shift by reviewing outstanding requests, sending confirmed updates, and handing unresolved items to the recruiting team with clear ownership and context.
Qualifications:
- High school diploma or equivalent.
- No experience required; related experience in recruiting support, candidate communication, scheduling, or administrative assistance is preferred.
- Understanding of candidate experience and the basic recruiting journey, including interview invitations, confirmations, rescheduling, and recruiter handoffs.
- Willingness to learn the named applicant-tracking and scheduling systems, including profile updates, calendar checks, and accurate interaction notes.
- Clear, courteous written and verbal communication for answering candidate questions and confirming arrangements with recruiters and interviewers.
- Ability to compare details carefully, recognize missing information, and follow established instructions before sharing updates or changing interview arrangements.
- Reliable computer, high-speed internet, and quiet private workspace suitable for confidential candidate conversations and focused desk-based work.
- Availability for the 40-hour weekly commitment and agreed working days and shift times, including participation in scheduled training and team check-ins.
