The team delivers flagship forums, client councils and regional programs across a diverse and fast-moving region, partnering closely with business leaders, market teams, functional experts and external agencies.
We are looking for a highly organized, detail-oriented and service-minded Events Administrator to support the planning and delivery of multiple internal and external events across CEMEA. The role will coordinate registration, delegate communications, client council administration, travel and accommodation, compliance documentation, event finance, vendor administration, reporting and post-event reconciliation. You will work across several programs at the same time, maintain accurate records and provide responsive support throughout the event lifecycle. Success in this role requires sound judgment, strong follow-through and the ability to build trusted working relationships in a complex, matrixed environment.
Key Responsibilities:
Registration and delegate management:
- Manage registration platforms, delegate databases, event mailboxes and attendee communications for major CEMEA events.
- Maintain accurate participant data, track responses and approvals, and produce timely registration and attendance reports.
- Coordinate invitations, confirmations, joining information, changes and event-related queries with a consistently high standard of service.
- Support onsite delegate management, accreditation and badging where required.
Client council and hospitality administration:
- Coordinate onboarding and ongoing administration for CEMEA client councils, including member records, documentation and governance requirements.
- Support end-to-end hospitality administration, including nominations, approvals, transparency documentation and contracts.
- Handle confidential client and business information with discretion and in line with Visa policies.
Travel and accommodation coordination:
- Coordinate flights, accommodation and ground transportation for council members, speakers and other approved participants.
- Ensure arrangements comply with relevant travel, budget and approval requirements.
- Maintain clear itineraries and provide practical support when travel plans change.
Event finance, compliance and vendors:
- Maintain budget trackers, purchase order and invoice records, vendor documentation and payment status across assigned events.
- Support event approvals, hospitality and compliance processes, working with internal partners to secure complete and timely documentation.
- Coordinate post-event financial reconciliation and maintain a clear audit trail of commitments, costs and supporting records.
- Provide day-to-day administrative coordination with agencies, venues, hotels and other service providers.
Reporting, tools and ways of working:
- Maintain event calendars, project trackers, shared files, templates and knowledge repositories.
- Prepare recurring reports and dashboards covering registration, attendance, budgets, actions and delivery status.
- Support surveys, feedback collection and post-event reporting, ensuring learnings and documentation are captured for future programs.
- Identify opportunities to simplify, standardize and improve administrative processes across the CEMEA portfolio.
- Partner effectively with Corporate Events colleagues, business stakeholders, market teams and global counterparts.
Visa requires at least 3 days in office, expectations of these days will be confirmed by your Hiring Manager.

Basic Qualifications:
- 2 or more years of relevant work experience with a Bachelor's Degree, or an equivalent combination of education and experience.
- Experience in events, administration, project coordination, hospitality, travel, marketing operations or a related field.
- Strong proficiency in Microsoft Office, particularly Excel, Outlook, PowerPoint and Teams.
- Fluent written and spoken English.
Preferred Qualifications:

- Experience with event registration platforms such as Swoogo and Cvent, together with strong confidence managing large volumes of data.
- Working knowledge of purchase orders, invoices, budgets, vendor administration and reconciliation.
- Experience coordinating travel, accommodation or hospitality for senior clients, executives or speakers.
- Additional language capability relevant to CEMEA is an advantage.
- Skills and attributes
- Exceptional organization and attention to detail, with a disciplined approach to accuracy and follow-through.
- Ability to manage multiple priorities independently and deliver to deadlines in a fast-paced environment.
- Strong written and verbal communication, with a professional and responsive service mindset.
- Practical problem-solving skills and the judgment to escalate issues at the right time.
- Confidence working across functions, markets, cultures and time zones in a matrixed organization.
- High integrity and discretion when handling confidential, material or non-public information.
- Calm, collaborative and adaptable approach, including during peak delivery periods.
