Role Overview

As Chief of Staff to the Chief Accounting Officer (CAO), you will be the CAO's strategic and operational right hand across a $300M+ revenue, 700-person company operating in the US, Canada, the Netherlands and Pakistan. The CAO's organization spans finance, accounting, HR, legal, compliance and operations. You will own two things outright:

1. Company-wide budgeting. Build, run and continuously improve the annual budget and monthly budget-vs-actual process for every department in the company, across all entities.

2. Risk management. Build and own the company's risk program: the risk register, the insurance program, the compliance and audit calendar, and the controls that keep a fast-scaling carrier out of trouble.

Around those two, you will turn the CAO's priorities into structured plans with clear owners, keep them moving across departments, and make sure nothing important stalls for lack of an owner or a documented rationale. This is a hands-on role for a sharp, high-energy operator who wants outsized exposure to how a Super Carrier is run.

Company-Wide Budgeting

Own the annual budgeting process for every department, working directly with each department head to build, challenge and finalize their budget.

Consolidate budgets across entities (US Mobile Inc., US Mobile Canada Inc., US Mobile B.V., and the Pakistan back-office operation), including intercompany cost-plus arrangements and headcount plans.

Run the monthly budget-vs-actual cycle: pull actuals from Sage Intacct and Brex, produce variance analysis by department, and drive corrective action with department leads.

Document the reasoning behind every material budget line (assumptions, drivers, trade-offs) so decisions are transparent and easy to defend or revisit.

Feed budget and variance outputs into the monthly close and the quarterly CFO report.

Continuously improve the process: templates, cadence, tooling and automation.

Risk Management

Build and maintain the company risk register: identify, rate, assign owners and track mitigation across financial, operational, regulatory, vendor, cyber and people risks.

Own the insurance program end to end: coverage review, renewals, broker relationship, claims coordination (D&O, cyber, E&O, GL, property, workers comp, and others).

Own the compliance and audit calendar: financial statement audit, corporate tax, telecom tax and regulatory filings, privacy audits (CCPA), benefits and DOL matters, state and provincial registrations. Make sure every deadline has an owner and nothing is missed.

Coordinate external auditors, tax advisors and regulators on behalf of the CAO's office: prepare requests, track open items, close them out.

Manage vendor and contract risk: track renewal dates, flag auto-renewals, support negotiations, and maintain a single view of committed spend.

Monitor treasury and payments risk: cash concentration, bank relationships, payment processor exposure (disputes, chargebacks, fraud).

Design and document internal controls where gaps exist. Prepare the company for the control environment expected of a larger, more scrutinized business.

Roadmapping and Cross-Functional Execution

Take the CAO's goals (refunds, revenue initiatives, professional development for the team, or whatever comes up next) and translate them into a clear roadmap with milestones, owners and timelines.

Coordinate with Finance, Accounting, Product, Engineering, Customer Support, HR and Legal to keep initiatives moving and unblock dependencies.

Track progress against each roadmap and flag risks, delays or resourcing gaps to the CAO before they become problems.

Operational Efficiency

Manage the CAO's calendar, meeting agendas, briefing materials and follow-ups so their time goes to the highest-leverage work.

Track performance metrics across the CAO's organization and assess progress toward stated goals.

Build and maintain AI-driven workflows (Claude, Hex, internal agents) that automate recurring reporting, monitoring and follow-up.

Executive Communication and Alignment

Prepare presentations, financial summaries and briefing documents for internal and external audiences, including the quarterly CFO report to investors.

Proactively reach out to stakeholders across the company. Initiate conversations and follow up until things are resolved. Do not wait to be asked.

Align stakeholders across departments on goals, roles and timelines tied to the CAO's initiatives.

Relationship Management

Represent the CAO's office in interactions with internal teams and external partners: auditors, tax advisors, banking partners, insurance brokers, vendors.

Build trust-based relationships across the organization to drive alignment and engagement.

First 90 days

Full map of every budget, budget owner and current spend across the company.

Risk register v1 built, rated and reviewed with the CAO.

Compliance and audit calendar built with every deadline and owner for the next 12 months.

Insurance program reviewed, renewal dates and gaps identified.

First 12 months

One annual budget cycle run end to end, company-wide, with documented assumptions for every department.

Monthly budget-vs-actual delivered within 10 business days of month end, every month.

Zero missed compliance or filing deadlines.

At least one major recurring process (reporting, monitoring or follow-up) fully automated.

5 to 8 years of experience in finance, consulting, investment banking, private equity, or a rigorous strategy or operations role at a high-growth company.

Degree from a top-tier university. MBA welcome but not required.

Has personally owned a budget and a budget-vs-actual cycle, and can walk through the reasoning behind the numbers.

Has personally run at least one of: an audit, a compliance program, an insurance renewal, or a risk assessment.

Exposure to multi-entity or multi-country operations is a strong plus. Telecom, fintech or other regulated industry experience is a plus, not a requirement.

No CPA or CA required. We are hiring for sharpness, energy and ownership, not credentials.

Skills and Competencies

Financially fluent. Comfortable with budgeting, variance analysis and financial modeling. Strong Excel. SQL and BI tools a plus.

AI-native. Uses AI tools daily and can build, not just use, automated workflows. Our finance team runs on Claude, Hex and internal agents. This is a hard requirement.

Roadmapping. Can take an open-ended goal and turn it into a structured plan with milestones, owners and dependencies.

Proactive communicator. Reaches out first, follows up without being prompted, comfortable with people at every level and with external partners.

Meticulous. Verifies numbers against source. Documents reasoning. Does not assume. Asks the question rather than guessing.
