About the Role

We are looking for a highly organised and detail-oriented Claims Administrator to join a pioneering team supporting Australian operations.

This is an exciting opportunity to be part of a growing team and play an important role in establishing and supporting claims administration processes. You will provide accurate and timely administrative support across insurance repair and restoration claims, ensuring claim files are complete, systems are updated, appointments are progressing, and routine communications are properly documented.

You will work closely with Australian stakeholders, including customers, insurers, assessors, estimators, restoration technicians, trades, and internal operations teams.

Aligned with Australian business hours and operational requirements.

Key Responsibilities

  • Create, maintain, and update claim and job records across internal systems, insurer portals, and shared trackers.
  • Check incoming referrals and claim instructions for required information, attachments, and service-level deadlines.
  • Upload reports, photographs, quotations, scopes, contracts, invoices, and other supporting documents to the correct claim file.
  • Prepare standard correspondence, progress updates, and information requests for customers, insurers, assessors, and internal teams.
  • Coordinate routine bookings for estimators, technicians, and trades, confirm customer access, and record attendance outcomes.
  • Follow up on missing documents, approvals, reports, quotations, and signed contracts using agreed follow-up and escalation processes.
  • Maintain accurate job notes after every call, email, booking change, and action taken.
  • Monitor administrative task queues, due dates, and ageing items, and flag delays or exceptions to the appropriate team member.
  • Support invoice and purchase-order administration by validating documents and routing discrepancies to the appropriate owner.
  • Handle customer and claim information in line with privacy, confidentiality, and internal process requirements.

Key Performance Outcomes

  • Claim records are complete, accurate, and updated promptly.
  • Documents and communications are filed correctly and can be readily audited.
  • Routine bookings, follow-ups, and customer updates are completed within agreed turnaround times.
  • Missing information and overdue actions are identified early and escalated with clear notes.
  • Administrative rework, duplicate follow-ups, and avoidable data errors are kept to a minimum.

Skills and Experience

  • At least 4 years of experience in claims administration, insurance support, construction administration, restoration, property services, or a comparable coordination environment.
  • Strong data entry, document control, and case-file administration skills with consistent attention to detail.
  • Professional written and verbal English, including confidence communicating with Australian customers and business stakeholders.
  • Ability to work across multiple systems, inboxes, and priorities while meeting deadlines.
  • Working knowledge of Microsoft 365; experience with case management, job management, or insurer portals is advantageous.
  • Sound judgement to recognise incomplete information, process exceptions, and matters requiring escalation.

Preferred Experience

  • Exposure to Australian general insurance, building repairs, restoration, or property claims.
  • Experience using claims or job management platforms such as Prime, ENData, Evraa, or similar systems.
  • Understanding of insurance repair terminology, scopes of work, variations, purchase orders, and contractor documentation.
