Cleaning Operations Coordinator
Haven
Full-time | Remote — Philippines
Department: Housekeeping & Field Ops
Schedule: Monday–Friday, 8:00am–5:00pm ET | Occasional weekend coverage as needed
Reports to: COO, Cleaning
Compensation: USD $700–$800 / month
About the brand
Haven manages cabins and mountain homes in the Great Smoky Mountains and around Knoxville, Tennessee. Steep driveways, hot tubs, wood stoves, and a season that swings from quiet weeks to a full house every weekend. It is a market where property care is guest experience: a cold hot tub is a ruined anniversary, and a turnover that runs late is a family waiting in the driveway.
The role
You are the person who makes sure every cabin is guest-ready before the next family arrives. You are the main communication point between Haven operations and our Tendwell cleaning teams. Your day starts with the departures, arrivals and cleaning schedule, and from there you follow up with cleaners on progress and ETAs, clear whatever is blocking a turn, coordinate re-cleans and supply fixes, and confirm each home is ready before a same-day check-in.
When a guest checks out late, you work out what it does to the cleaning schedule and tell operations what timing is realistic. It is a role for someone who is highly responsive and calm under same-day pressure. Asking for an update is not the same as getting the home ready. If a turn is yours, you own it until it is confirmed complete.
Where you sit
You sit in Housekeeping & Field Ops and work every day with Tendwell cleaners and Haven’s operations team. This is not a role where you are handed a queue and left alone.
This role is remote and based in the Philippines, covering U.S. Eastern Time working hours. Because Stayd runs shared systems across every brand, a process you improve here tends to end up running in six other markets, which is the closest thing we have to a promotion path.
What you’ll own
- Follow up with cleaners on turn status, ETAs and anything blocking completion.
- Coordinate re-cleans, missed items and supply fixes.
- Confirm guest-ready status for every same-day arrival.
- Assess how late checkouts affect the cleaning schedule and communicate realistic timelines.
- Relay delays, updates and completion details to Haven operations, escalating urgent issues promptly.
- Collect and post completion evidence, including photos where required.
- Keep communication with cleaners, internal teams and stakeholders clear and organized.
- Spot recurring issues and help improve cleaning workflows and SOPs.
How you’ll live our core values
Five values run this company, and we hire and promote against them.
- See Something Do Something: if you spot it, it is yours. Nobody here is allowed to walk past a problem because it belongs to another team.
- Do What You Say: a commitment with a date on it is a promise. If it slips, you say so before it is late, not after.
- Own the Miss: we get things wrong. What matters is that you name it first, fix it, and make sure it cannot happen the same way twice. Nobody is punished for a miss they owned.
- Say the Hard Thing: kindly, directly and early. Silence in a meeting followed by a private complaint is the one behaviour we will not carry.
- Make It Better: leave the process, the property or the shift in better shape than you found it. Small improvements, constantly, beat big ones occasionally.
What you bring
- Experience in short-term rentals, hospitality, housekeeping coordination or field operations is strongly preferred.
- High responsiveness and the ability to manage urgent, same-day issues without losing track of the rest.
- Strong attention to detail.
- Comfort following up with field teams, again and again, until the job is done.
- Clear written English for communication with cleaners and the operations team.
- Availability to work U.S. Eastern Time hours, plus occasional weekend coverage.
- Reliable internet and a quiet place to work.
Compensation & Benefits
- $700–$800/month, depending on experience.
- Fully remote, with flexible scheduling within U.S. time-zone overlap.
- A path to grow into a broader operations leadership role across the portfolio.
