Position Overview
We are seeking a reliable, detail-oriented Client Service Associate to support financial advisory clients with day-to-day administrative and client service tasks. This role is ideal for someone who enjoys creating order, following processes, and supporting both advisors and their clients behind the scenes.
You will work remotely as part of a small, collaborative team and receive structured training and ongoing support.
Key Responsibilities
Client Service & Administrative Support:
Manage and respond to client emails in a professional, timely manner
Schedule client meetings and manage advisor calendars
Prepare meeting materials and follow-up items
Assist with client onboarding and account maintenance tasks
Prepare paperwork for Advisor’s clients
Maintain accurate client records in the CRM system
Track tasks and follow documented workflows and procedures
Operations & Team Support:
Update internal systems and workflows
Communicate proactively with Advisors
Identify inefficiencies or errors and suggest improvements
Protect client confidentiality and handle sensitive information with care
Required Skills & Qualifications
Strong written and verbal communication skills
Exceptional attention to detail and accuracy
Highly organized and able to manage multiple tasks
Comfortable following systems, checklists, and standard operating procedures
Tech-savvy with the ability to learn new software quickly
Reliable internet connection and quiet home workspace
Strongly Preferred
At least 2 years of experience working with financial advisors, RIAs, or wealth management firms
Familiarity with Wealthbox, RedTail, Charles Schwab, DocuSign, scheduling tools, and document management systems
