Show job description

Since our inception in 2015 in Denmark, Liva has been a pioneer in the field of digital behaviour change. Our ambition is to empower 1 million people by 2030 to improve their health and well-being by preventing and managing chronic conditions through digitally-powered, evidence-based lifestyle interventions.

Headquartered in Copenhagen and London, our collaborations with healthcare systems - including the NHS, life science companies and health insurers - allow us to impact lives at scale. We recently acquired Momenta, a leading developer and provider of evidence-based, outcome driven, healthy lifestyle solutions that help people negotiate the many day-to-day challenges they face in living healthier lives, with a focus on weight management.

This role is working for Diaetisthuset - Part of the Liva Healthcare Group. The Clinical Operations Administrator keeps Diætisthuset's clinics running smoothly day to day. The role combines customer service, clinic operations and the administrative ownership of our medical weight loss programme.

You will be the go-to person for our dietitians and the link between clients, clinicians, our doctor and Liva's wider teams. You will work closely with the dietitian who leads the clinical consultations in the programme, while you own the process around them.

Key responsibilities

Customer service

  • Handle client enquiries by phone and email in fixed time slots (approx. 15 hours/week on the phone and 5 hours/week on email)

  • Provide backup on the phones and take over primary phone coverage when our customer service lead is absent

  • Triage medical questions from clients and refer them to the right dietitian

Clinic operations and administration

  • Carry out daily, weekly and monthly controlling for finance and operations, in cooperation with the finance team and the Head of Operations, Diætisthuset

  • Provide technical system support to colleagues and act as super user in AW

  • Handle manual processes related to the integration between AW and Gecko during the ongoing migration

  • Be the day-to-day go-to person for our dietitians on practical and system questions

Medical weight loss programme administration

  • Own the programme process end to end, including the dialogue with our doctor

  • Manage evaluation questionnaires for clients in active programmes (approx. 300 clients, each completing a questionnaire every 4 weeks)

  • Order blood tests for clients in the programme

  • Work closely with the dietitian responsible for onboarding and status consultations, who owns the clinical side

Who you'll work with

  • Head of Operations, Diætisthuset – your line manager

  • Customer service – sharing phone and email coverage

  • Dietitians – day-to-day support, including the dietitian leading the medical weight loss consultations

  • Finance – controlling and follow-up

  • Our doctor – ongoing dialogue on the medical weight loss programme

  • Liva's wider teams – including Customer Success and People

What we're looking for

  • Solid experience in administration, customer service or clinic operations

  • Strong system skills and confidence learning new tools (e.g. AW, Gecko)

  • A strong service mindset towards clients, partners and colleagues

  • Structured and able to work independently, with an eye for detail in controlling and follow-up

  • Experience with healthcare administration or medical weight loss programmes is an advantage; a clinical background is not required

  • Fluent Danish and English, written and spoken
