The Clinical Operations Coordinator supports the Director of Clinical Operations in driving clinical excellence, operational consistency, and execution of strategic initiatives across care centers. This role serves as a key coordinator for clinical operations activities, including policy and procedure management, project coordination, quality improvement support, compliance activities, meeting management, and cross-functional communication.
The Clinical Operations Coordinator partners with Clinical Directors, providers, operations leaders, compliance, quality, analytics, and other stakeholders to ensure clinical workflows, protocols, and initiatives are effectively organized, communicated, monitored, and implemented. This position plays an important role in supporting operational efficiency, regulatory compliance, and a consistent patient care experience across the organization.
Essential Responsibilities:
Clinical Operations Support
- Coordinate clinical operations initiatives and priorities.
- Support implementation and maintenance of clinical workflows, policies, and standardized procedures.
- Track action items, project timelines, and deliverables.
- Coordinate follow-up activities from meetings, committees, and operational reviews.
- Serve as a liaison between clinical, operational, and administrative teams.
Policy and Documentation Management
- Maintain clinical policies, procedures, workflows, and related documentation.
- Assist with policy development, formatting, review, approval, and distribution.
- Ensure documents remain current, organized, version-controlled, and compliant with regulatory requirements.
- Coordinate routine policy reviews and updates.
- Support maintenance of patient education materials and clinical resources.
Quality and Performance Improvement
- Assist with collection, organization, and reporting of quality and operational performance data.
- Support quality improvement initiatives through tracking of action plans, milestones, and outcomes.
- Prepare reports, presentations, dashboards, and committee materials.
- Coordinate Clinical Quality Assurance Committee activities and follow-up actions.
- Partner with Data & Analytics teams to monitor performance metrics.
Communication and Change Management
- Support communication plans related to new workflows, policies, and operational changes.
- Develop and distribute clinical operations updates and communications.
- Coordinate training schedules and stakeholder notifications.
- Track implementation activities and gather feedback from care center teams.
Value-Based Care Support
- Support implementation of value-based care initiatives and workflows.
- Track quality and performance metrics and coordinate follow-up actions.
- Support reporting, communication, training, and performance improvement efforts related to value-based care programs.
Compliance Support
- Maintain compliance-related documentation and records.
- Support audits, inspections, and compliance reviews.
- Coordinate documentation related to HIPAA, OSHA, CLIA, and other regulatory requirements.
- Monitor review schedules and corrective action plans.
- Partner with Compliance and Operations teams to maintain and communicate documentation updates.
Meeting and Project Coordination
- Coordinate meetings, committee sessions, and leadership workgroups.
- Prepare agendas, meeting materials, minutes, and action-item logs.
- Track project milestones, risks, dependencies, and implementation progress.
- Support special projects and operational initiatives as assigned.
Required Qualifications
- Bachelor's degree in Healthcare Administration, Health Sciences, Nursing, Public Health, Business Administration, or a related field.
- Minimum 3 years of experience in healthcare operations, clinical administration, healthcare project coordination, quality improvement, or a related healthcare support function.

Prior clinical patient care or clinical support experience required.
- Strong organizational, project coordination, and time-management skills.
- Excellent written and verbal communication skills.
- Proficiency with Microsoft Office Suite, including Excel, PowerPoint, Word, and Teams.
- Experience preparing reports, presentations, and meeting materials.
- Ability to manage multiple priorities in a fast-paced healthcare environment.
- Knowledge of healthcare operations, quality improvement, and compliance requirements.
- Ability to maintain confidentiality and handle sensitive information appropriately.
Preferred Qualifications
- 5+ years of healthcare operations or clinical administration experience.
- Experience supporting physician practices, ambulatory care, multi-site healthcare organizations, or value-based care programs.
- Familiarity with HIPAA, OSHA, and CLIA requirements.
- Experience with EHR systems and healthcare reporting tools.
- Healthcare project management experience.
- CAPM, PMP, Lean, Six Sigma, or similar project management certification preferred.
- Knowledge of value-based care programs, quality metrics, and performance improvement methodologies.
The estimated range is the budgeted amount for this position. Final offers are based on various factors, including skill set, experience, location, qualifications and other job-related reasons.
