Make an Impact as a Clinical Payments Specialist at Worldwide
As a Clinical Payments Specialist, you’ll take ownership of the end-to-end investigator payment process for assigned global clinical studies, from payment setup and deployment through reconciliation and study closeout.
You’ll work closely with investigative sites, clinical research teams, finance colleagues, project teams, and sponsors to help ensure payments are accurate, timely, and aligned with Clinical Trial Agreements. By analyzing payment data, identifying discrepancies and trends, and providing clear forecasts and reporting, you’ll help teams make informed financial decisions throughout the study lifecycle.
This role is a great fit for someone who combines financial and analytical skills with strong organization, communication, and a customer-focused approach.
Where You'll Work
This is a remote role open to candidates based in Japan. You will collaborate with global teams across multiple time zones.
Travel is not required.
What You'll Do
- Manage end-to-end investigator payments for assigned global studies, from setup and deployment through reconciliation and closeout.
- Interpret contracts, study budgets, and payment schedules to ensure investigator payments align with Clinical Trial Agreements.
- Coordinate with investigative sites, clinical research teams, finance teams, functional leaders, and sponsors to resolve payment queries and discrepancies.
- Analyze budgeted versus actual spend, identify overpayment and underpayment trends, and share findings with project teams.
- Develop investigator payment forecasts and consolidated monthly reports covering paid and unpaid sites.
- Reconcile payments at required intervals and research discrepancies using information from relevant teams, systems, and tools.
- Present payment data and insights to stakeholders and participate in client and project team meetings.
- Support audits and inspections through preparation, participation, and follow-up while maintaining a high level of service for internal and external stakeholders.
What You'll Bring
- Education: A four-year college or university degree; alternatively, a two-year college curriculum with one or more years of relevant office administration or similar experience, or an equivalent combination of skills and proven performance.
- At least two years of relevant experience within a Contract Research Organization (CRO) or pharmaceutical company involving finance, qualitative data entry, data validation, project management, or contracts is preferred.
- Advanced proficiency in English and fluency in Japanese; Japanese is a mandatory requirement.
- Excellent written and verbal communication, interpersonal, organizational, and customer-service skills.
- Ability to work independently and collaboratively, manage multiple priorities, and exercise sound judgment in a fast-paced, changing environment.
- Advanced Microsoft Office skills, including Word, Access, Excel, PowerPoint, and Publisher.
- Knowledge and understanding of applicable ICH, GCP, FDA or EU regulations and local regulatory requirements.
