Position Summary

We are seeking two detail-oriented and proactive Clinic AR Leads to manage clinic accounts receivable across our Eastern and Western regions. Each position will take end-to-end ownership of provincial health plan, private-pay, and third-party receivables for clinics within its assigned region.

Working directly within clinic workflows and EMR billing modules, you will ensure encounters are billed, claims are submitted on time, rejections are resolved, and outstanding invoices are followed through to payment. Your focus will be on reducing outstanding receivables, preventing missed billing opportunities, and improving billing accuracy across multiple clinics and physicians.

You will collaborate closely with regional operations, clinic teams, physicians, Finance, and clinic systems teams to resolve billing issues and establish consistent processes across fee-for-service, capitation, and other applicable payment models.

What you will be doing

Claim Submission and Billing Accuracy

  • Reconcile daily schedules and patient encounters against submitted claims for each clinic and physician, following up on unbilled or incomplete encounters.
  • Ensure claims are submitted within payer cycles and submission deadlines for the applicable provincial plans: OHIP in Ontario, and MSP Teleplan and AHCIP in Western Canada.
  • Monitor applicable capitation and shadow-billing models, including Family Health Group (FHG) and Family Health Organization (FHO) arrangements in Ontario, to support accurate rostering, enrolment, billing, and premiums.
  • Confirm new physicians have the required billing numbers, group or business arrangement linkages, and EMR billing profiles before their first shift.

Rejections and Reconciliation

  • Review remittance advice and claim error, rejection, and hold reports for every clinic each submission cycle.
  • Correct and resubmit rejected or held claims promptly, following up with payers on underpayments and adjustments where appropriate.
  • Identify recurring rejection causes and work with clinic teams to resolve coding, eligibility, system setup, and workflow issues.
  • Maintain an accurate record of open provincial claims, including their age, value, assigned owner, and next action.

Private and Third Party Accounts Receivable

  • Ensure uninsured services, forms, third-party services, and applicable out-of-province claims are invoiced at the time of service or promptly afterward.
  • Follow up on outstanding invoices through a consistent collection schedule and escalate aged balances.
  • Recommend write-offs when appropriate and obtain the required approvals before processing.
  • Reconcile payments received through point-of-sale systems, e-transfers, and cheques against EMR invoices in collaboration with clinic staff and Finance.
  • Support billing and collection activities involving WSIB/WCB, insurers, employers, and other third-party payers.

Reporting and Escalation

  • Prepare a weekly dashboard showing provincial plan receivables, private receivables by aging category, rejection rates, and unbilled encounters by clinic.
  • Escalate persistent billing gaps to regional operations, outlining the amounts outstanding, underlying issues, and recommended actions.
  • Support month-end AR reviews with Finance and provide documentation for disputed balances and collection activities.
  • Monitor billing outcomes and identify opportunities to reduce aged balances, prevent missed submission deadlines, and improve collection performance.

Clinic Support and Process Improvement

  • Train clinic managers and Medical Office Assistants on accurate billing practices, end-of-day checks, and private invoicing.
  • Develop and maintain regional AR workflows, checklists, and reference materials.
  • Coordinate with the other region’s Clinic AR Lead to align reporting, share effective practices, and improve consistency.
  • Act as the regional point of contact for billing agents, EMR vendors, and payer help desks on claim-related issues.
  • Work directly with physicians and clinic systems teams to address billing setup, training needs, and system-related rejections.

You have

  • At least three years of medical billing or revenue-cycle experience in Canadian primary care.
  • Hands-on expertise in the provincial billing requirements for your assigned region: East – OHIP claims and remittance, including FHG and FHO rostering, shadow billing, and premiums; West – MSP Teleplan and AHCIP claims and remittance.
  • A demonstrated record of resolving rejected claims and reducing aged accounts receivable across multiple providers or clinic locations.
  • Working knowledge of at least one major EMR billing module, such as Accuro, PS Suite, OSCAR, or Med Access, and the ability to learn additional systems quickly.
  • Strong Excel skills for reconciliations, aging reports, and tracking outstanding claims.
  • Strong attention to detail, persistence, and the ability to manage competing priorities.
  • Clear communication skills and confidence following up with physicians and clinic staff to maintain billing standards.
  • The ability to investigate recurring issues, identify root causes, and implement practical solutions.
  • A medical billing certificate or equivalent training is an asset.
  • Experience with third-party billing, including WSIB/WCB and insurers, and private-pay collections is an asset.
  • Experience training front-line clinic staff is an asset.
