About the Role: The Commercial Operations Portal Specialist manages the company’s commercial account vendor and marketplace portals, serving as a key liaison between vendors, customers, and internal teams to ensure orders, inquiries, shipments, and related activities are handled accurately and efficiently. The role monitors portal activity, resolves order-related issues, maintains accurate information, and ensures compliance with established service levels, vendor requirements, and company processes. The position requires strong attention to detail, prioritization, problem-solving, and the ability to manage a high-volume workload, while providing additional Commercial Operations support, including order entry, during periods of increased demand or staffing shortages. Essential Functions: Manage assigned commercial account vendor and marketplace portals throughout the day. Process and respond to vendor portal inquiries, cases, messages, and requests accurately and timely. Maintain accurate order, shipment, inventory, and related information within vendor portals. Monitor portal activity for orders, cancellations, modifications, backorders, shipment issues, and other exceptions. Ensure vendor-specific requirements, procedures, and service-level expectations are consistently followed. Research and resolve order and fulfillment issues originating through vendor portals. Coordinate with Sales, Customer Service, Warehouse, Purchasing, Transportation, and other internal teams to resolve operational issues. Own assigned issues and follow through to resolution or appropriate escalation. Monitor orders for potential delays or issues that could impact fulfillment, customers, vendors, or SLAs. Communicate order status, delays, backorders, shipment issues, and resolutions to vendors, customers, and internal stakeholders. Maintain accurate and detailed documentation of inquiries, actions, communications, and resolutions in Salesforce and other applicable systems. Meet established Commercial Operations productivity, accuracy, quality, case-aging, and service-level expectations. Identify recurring portal, order, or fulfillment issues and communicate trends and process improvement opportunities to leadership. Support Commercial Operations initiatives and provide order-entry assistance during month-end or planned/unplanned staffing shortages. Perform other Commercial Operations responsibilities as needed while managing competing priorities effectively. Qualifications: 1–2 years of experience in customer service, order management, sales support, operations, e-commerce, marketplace management, or a related field. Experience working in a high-volume, detail-oriented environment with established productivity and quality expectations. Experience managing multiple priorities while consistently meeting deadlines and service-level expectations. Strong attention to detail and commitment to accuracy. Experience working with commercial account vendor, marketplace, or e-commerce portals preferred. Experience with Salesforce, CRM, ERP, order management, or similar business systems preferred. Strong analytical, problem-solving, research, and critical-thinking skills. Ability to interpret and follow vendor-specific requirements, processes, and procedures. Excellent written and verbal communication skills with the ability to manage customer and vendor expectations. Strong organizational and time-management skills with the ability to work independently, collaborate cross-functionally, and adapt to changing business needs.
