Communications Specialist
BaldwinPRIMARY RESPONSIBILITIES:
Content Development & Communications Strategy
Partners with IAS leaders, Enterprise Communications, and cross-functional teams to support and execute multi-channel communication plans that advance key organizational priorities.
Supports organizational change initiatives through effective internal communications and select external marketing efforts.
Writes, edits, and proofs communications for a variety of audiences and formats, including executive communications, town hall presentations, intranet content, email campaigns, sales initiatives, event communications, and leadership announcements.
Develops and refines content for one-time and recurring communications, including advisor webinars, podcasts, cross-sell updates, training programs, newsletters, and other business communications.
Creates, administers, and analyzes colleague surveys, using insights to help inform future communications efforts.
Collaborates with Enterprise Communications and IAS Marketing leaders to support the planning, execution, and measurement of communications initiatives across multiple areas of the business, including:
Email and newsletter communications
Colleague town halls, webinars, and virtual events
Intranet content and updates
Multi-channel communication campaigns
External communications support, as needed
Supports communications plans and initiatives for multiple areas of the business, partnering with Sales, Client Experience, and Marketing teams to help achieve communication objectives and business goals.
Supports communication efforts that reinforce the firm's brand, culture, and colleague experience.
Assists with the development of communication reporting and analysis, applying insights and recommendations to improve engagement and outcomes.
Supports communications initiatives, platforms, and campaigns through coordination, execution, adoption efforts, and performance tracking.
Develops working knowledge of communications technologies and platforms, including intranet, email, content management, and survey tools, and provides support to internal stakeholders as needed.
Collaborates with communications and business partners to help ensure messages are aligned, coordinated, and delivered effectively across audiences.
Provides updates and reporting on communications activities, milestones, and outcomes to stakeholders and business partners.
Assists with drafting and finalizing sensitive compensation-, operations-, and organizational change-related communications in partnership with Communications, Human Resources, Legal, and business leaders.
Communication Execution & Platform Management
Sources and manages appropriate communication distribution lists.
Builds, tests, and distributes communications through Salesforce’s Marketing Cloud, intranet platforms, and other communication technologies, ensuring accurate audience targeting, formatting, and scheduling.
Coordinates the execution of regional newsletters in partnership with regional marketing teams, supporting template management and distribution.
Supports the planning and execution of virtual and in-person events, including webinar hosting and event logistics coordination.
Monitors communication performance metrics and recommends improvements based on data and stakeholder feedback.
Leverages digital tools, including Microsoft Office Suite, Marketing Cloud, Baldwin approved AI tools like Claude or Co-Pilot and intranet platforms, and demonstrates a willingness to learn new systems as required
Project & Workflow Management
Maintains and manages the Communications team's project schedules, workflows, and priorities.
Balances multiple concurrent projects with varying timelines, deliverables, and stakeholder expectations.
Collaborates with internal colleagues to establish objectives, complete deliverables, and proactively identify and resolve issues.
Applies strong prioritization, organization, and time management skills to effectively manage changing business needs and priorities.
Executes special projects and additional communications initiatives as assigned.
KNOWLEDGE, SKILLS & ABILITIES:
Excellent verbal and written communication skills, including research, writing, editing, and proofreading.
Strong attention to detail with the ability to manage multiple deadlines coordinating with various key stakeholders and work effectively in a fast-paced environment.
Demonstrates professional behavior aligned with the organization's core values and culture.
Proficiency with AI-enabled productivity tools and Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
Experience with webinar hosting and utilizing tools like Zoom, Cvent and other event platforms
Familiarity with Salesforce’s Marketing Cloud, Poppulo, FirstUp, or similar communication platforms preferred and survey platforms like Survey Monkey.
Ability to learn and utilize additional systems, software, and technologies as required.
EDUCATION & EXPERIENCE:
Bachelor's degree or an equivalent combination of education and relevant work experience.
5+ years of experience in communications, marketing, public relations, or a related field.
Experience supporting organizational change initiatives through communications required; change management certification preferred.
Experience with Marketing Cloud, social media, SEO, content marketing, or related digital communication channels preferred.
