Complaint Progress Customer Service Liaison

Customer Service | Complaint Updates | Remote | Full-time or part-time
Hourly range £29.00–£31.00

Once a complaint has been acknowledged, silence can make the customer feel that nothing is happening. This position keeps the communication stage moving while the authorised team investigates. You would check a case’s recorded status, send approved updates, capture new information the customer provides and flag a promised response that has not been recorded. You would not decide the complaint, offer compensation or invent a progress milestone to make a message sound reassuring.

Between acknowledgement and decision

An assigned case might show that the investigating team requested a document, that a response is due from a service manager or that the matter has moved to a different reviewer. Your job is to read that record and communicate only what is approved for the customer. If the status is unclear, ask the case owner rather than infer progress from the number of days passed. A good update distinguishes “we have your information” from “the review is complete”. The customer should know the next known step without being promised a result that no one has authorised.

For example, a customer replies with a photograph after the first acknowledgement. You would attach it to the existing case through the employer’s online system and tell the investigator that new information has arrived. If the customer also asks whether they will receive a refund, record the question for the decision maker. Sending a generic “still under review” response without noting the new photograph would leave both sides less informed.

The role is different from first-contact complaint intake. You are maintaining a live conversation whose history already matters. A message may refer to something said by a previous colleague; check that history before answering. If an earlier update promised a contact by a particular date and the record does not show it happened, flag the issue promptly. Do not backdate a note or mark a reply sent when you have only prepared a draft.

Practical case work

  • Read the latest case note and the customer’s most recent message together.
  • Identify whether a new attachment belongs to the open complaint.
  • Ask the case owner for an approved status when the record is unclear.
  • Send a factual update through the assigned customer channel.
  • Record a question that needs an investigator’s decision.
  • Note any promised follow-up and whether it has actually happened.
  • Route a safety or privacy concern by the employer’s urgent procedure.
  • Leave an open matter visible until a proper handoff or final response is recorded.

This is remote customer service with an office administration component. Clear notes, correct dates and a complete conversation history matter as much as a polite tone. A customer may be upset, so read the substance of the message without dismissing it. You will work online from a home office, using a case record and approved response guidance. The hiring company will train you in its complaint stages and escalation rules. Prior experience is helpful but not required; patience and accurate follow-through are the starting skills.

An update can also be too detailed. The investigator’s internal notes may contain material that has not been approved for release. Use the customer-facing status supplied by the employer rather than copying an internal discussion into an email. If the customer asks for a document or the name of a decision maker, refer that request to the case owner. The result should be a truthful, useful message within your authority, with the harder question visibly assigned to someone who can answer it. That boundary is part of good service, not an excuse to ignore the customer.

The employer will confirm the schedule for the particular vacancy and whether it is part-time or full-time. The pay range is hourly. The point of the position is to keep a customer informed while a separate team does the investigating, making sure new evidence and questions are not lost.

Your application

Tell us how you would respond if a customer asked for an update but the case record had no recent status. You can use an example from any setting where you needed to check facts before replying.

We welcome people beginning a customer service career. If a status was unavailable, explain how you would get an authorised answer rather than improvising one. If selected to continue, you may be asked to complete an application on the hiring company’s website. The team will explain its complaint process before you take assigned cases.
