Location: ADMIN-HQ Job Summary: Under the general direction of the Compliance Department Manager, the Compliance Coordinator performs broad clerical and operational services for the agency’s Compliance Department and general administration department. The department provides critical administrative assistance that supports the coordination and monitoring of compliance activities for all departments of the health center to ensure the health center’s contractual, legal, and programmatic requirements are met. This includes providing administrative support in the department when working with key management staff to review written policies and procedures, review and centralize contracts, conduct internal audits and monitoring, provide staff training/education, develop corrective action plans, and investigate possible violations. This position also provides confidential support to the Chief Administrative Officer, in his/her role as a corporate compliance officer, as chair of management and staff committees, and as a participant in several organizational meetings, activities, and personnel or union-related matters. Essential Job Functions Assist the Chief Administrative Officer (CAO) and Compliance Department Manager to comply with legal, regulatory, and grant standards such as HRSA Operational Site Visit, Federal Tort Claims Act (FTCA), other health and safety regulations and/or audits, Health Insurance Portability and Accountability Act (HIPAA) privacy, and building security requirements. Assist in convening, agenda-setting, and taking minutes of department meetings and board/staff committees related to compliance, audit, and safety. Attend organizational meetings on behalf of the Chief Administrative Officer and Compliance Department Manager when requested. Assist CAO and Compliance Department Manager on compliance, regulatory and risk management-related matters, including responding to applicable incident reports from staff; tracking internal compliance metrics; contact and follow-up with staff or external entities as applicable. Assist the Chief Administrative Officer, other Executive Leadership, and Management Team with tasks that are confidential or may require discretion, including but not limited to topics concerning HIPAA data breaches, labor management, and legal matters. Manages the central administration and compliance/risk management files, organizational policies, and procedures within Compliatric to ensure that they are up to date and that the policies and procedures related to their access and use are followed. Assist in compiling and centralizing contracts and other compliance related documents. As with other administrative staff, perform clerical work such as filing and retrieving administrative files, copying, outside duplicating, collating, typing or word processing, mailing, and other production work. They will be relied upon by management staff for clerical help when confidentiality and discretion are required and must exhibit use of sound judgement. Serve as backup for HQ Administrative Assistant in their absence. Delegates assignments and coordinate staffing needs when the Compliance Department Manager is not available. Other duties as assigned. General Agency/AHS Duties Fosters an environment that promotes trust and cooperation among clients and staff. Enforces clinic policies and procedures, including maintenance of client confidentiality under HIPAA privacy rules, to ensure that the principles of AHS are implemented. Plays an active role in planning organization-wide activities such as AHS general membership meetings, fundraisers, special clinic days, and other events. Participates in general membership meetings, fundraisers, and other public events, as required. Participates in outreach activities, agency advocacy, and serves on ad hoc committees, as requested. Attends AHS staff retreats and Board of Directors meetings, as required. Participates in agency-wide quality improvement program processes and performance improvement teams to ensure excellence in the quality of services provided across the agency. Minimum Qualifications Bachelor’s degree with two years of relevant work in administration; or Some college with four years of progressive experience of relevant work experience along with increasing responsibilities Preferred Qualifications Bilingual/bicultural in an Asian language preferred. Commitment to working in the Asian community, to community health care preferably with community health clinics Familiarity with compliance and/or risk management tracking and reporting in health care setting. Knowledge, Skills, and Abilities Technologically savvy with proficiency using the Windows OS, MS Word, Excel, PowerPoint, Office 365 application and database software. Attention to detail, strong organizational skills. Strong communication (oral and written) skills. Demonstrated ability to analyze situation and make appropriate decisions and work independently following initial guidance from supervisor. Proven ability to demonstrate tact, appropriate judgement and discretion in preparing, disclosing and handling information of a confidential and sensitive nature. Demonstrates cultural humility and sensitive and demonstrated ability and effectiveness in working with ethnically diverse populations and diverse environments. When working in the clinic setting, the job requires mobility, strength to lift, carry and position supplies and equipment.
