Compliance Coordinator Dallas Children's Advocacy Center - Dallas, TX 75228 Apply Overview Position Type Full Time Job Shift Day Education Level High School Travel Percentage Negligible Category Admin - Clerical Apply Description The Dallas Children's Advocacy Center is seeking an experienced Compliance Coordinator for the Operations Department . GENERAL DESCRIPTION: Serves as the agency’s coordinator for compliance operations, accreditation readiness, and quality assurance support, ensuring consistent adherence to required standards, including CACTX, National Children’s Alliance (NCA), HIPAA, and grant compliance obligations. Reporting to the Director of Compliance and Performance Outcomes, this role provides ongoing operational support of compliance activities, including tracking training completions, documentation readiness, quality assurance reviews, and compliance reporting support. ABOUT DCAC: The mission of the Dallas Children's Advocacy Center is to improve the lives of abused children in Dallas County and to provide national leadership on child abuse issues. DCAC is a non-profit organization and the only agency of its kind in Dallas County, working in agreement with public and private agencies to investigate, prosecute, and provide healing services for child abuse cases in Dallas County. We reduce the victimization of the child, remove barriers to investigation and treatment, and enhance criminal prosecution with our distinctive multidisciplinary and united approach to these complex and severe cases, all at no cost to our clients. Each year, DCAC serves over 13,000 children and their non-offending family members. We are a national and international leader in the Children's Advocacy Center movement, recognized for our expertise in the identification, investigation, and prosecution of child abuse cases; cutting edge clinical services and programs for the victims and their non-offending family members; and our community and professional training programs. ESSENTIAL DUTIES AND KEY RESPONSIBILITIES: Compliance, Quality Assurance & Accreditation Operations: Support maintenance, reviewing, and monitoring of agency policies and standard operating procedures to ensure alignment with CACTX, NCA, HIPAA, and other regulatory requirements. Support annual strategic review and assessment processes by organizing inputs, tracking progress indicators, and compiling required documentation. Support agency-wide compliance with accreditation, regulatory, and funding requirements, including CACTX, NCA, HIPAA, and grant obligations, under the direction of the Chief of Staff and HIPAA Security Officer. Support compliance readiness by tracking required training completion, certifications, and documentation using the learning management system (LMS) and other established systems; identify and communicate gaps to appropriate leaders for resolution. Implement structured tracking systems to support compliance monitoring, accreditation readiness, and site visit preparation. Oversee organizational process to track continuing education (CEU) and other compliance requirements to identify gaps. Support administrative components of compliance processes, including tracking attendance and ensuring completion documentation is recorded. Conduct routine reviews of documentation, training records, and compliance materials to ensure accuracy, completeness, and alignment with required standards. Identify patterns of inconsistency or recurring gaps and communicate findings to the Director of Compliance and Performance Outcomes. Support accreditation site visit preparation by conducting internal readiness reviews and validating that documentation and practices align with CACTX, NCA, and HIPAA standards. Assist in preparing reports for executive leadership, accreditation bodies, funders, and the Board by organizing and synthesizing compliance information. Records: Serves as Custodian of Records, including accepting and signing for subpoenas addressed to the Custodian of Records, and testifying in court regarding subpoenas received and documentation from DCAC. Verifies, tracks, documents, and fulfills the processing of Subpoenas , Court Orders, Forensic Interview Requests, and Civil Requests from the District Attorney’s Office by ensuring proper attachments are reflected in DCAC case management database system, the designated Spreadsheet Log, and Shared Documents Folder. Manages the DCAC records mailbox, routes and assists inquiries as needed Manages the upkeep and organization of Release of Information Forms requested that are signed by either DCAC clients and/or external agencies when requesting access to client file, and documents in case/client management database system. Processes and forwards letters to external agencies if DCAC staff are no longer employed at DCAC. Processes requests for Social Security/Disabilities for clients and routes to appropriate DCAC staff. Identifies areas where processes lack or need adjustments pertaining to subpoenas and records in staying aligned with Family Code and Regulations and updates the supervisor to make process changes for DCAC . Serves as point of contact for any and all client records and subpoena questions for DCAC former and current clients, DCAC staff, and partners. Updates program departments and the agency staff, when necessary, surrounding the legal processes and requirements of DCAC when an employee receives legal requests via email or in-person, ensuring the process is documented and available for new staff to review as well as being available for in-person instruction. Provides supervisor with any updates to the Records Management Manual and Records Retention Policy to ensure it is up to date with current policies, procedures, and laws as soon as possible. Other Duties: Send monthly OMS update emails to DCAC leadership. Participate in professional development training related to current role. Attends agency-wide mandatory employee meetings. Completes agency-wide compliance training. Attends all team meetings. Other duties as assigned. Qualifications QUALIFICATIONS AND SKILLS A High School Diploma or 60 hours of college work is preferred or an equivalent of the accumulated experience with the equivalent experience and knowledge may be accepted instead of educational requirements. 3 years of experience working in a multidisciplinary CAC environment or similar, in a support role. Equivalent combination of education and experience will be considered. Demonstrated ability to track, organize, and manage complex compliance requirements, documentation systems, and reporting processes. Strong analytical, organizational, and communication skills with the ability to translate compliance requirements into clear tracking and reporting tools. Skilled in time management and attention to detail. Experience working in cross-functional environments and supporting the execution of operational initiatives with multiple stakeholders. WORK ENVIRONMENT: Work Location : Hybrid work schedule eligible in accordance with DCAC policy. Mental and Physical Abilities : Duties are usually performed seated with occasional periods of standing or walking. Limited physical effort is required associated with lifting and carrying objects (less than 25 lbs.). Working Conditions: Work may be performed but is not limited to an office environment.
