Construction Operations Coordinator

Location: Remote (LATAM Applicants Only)

Schedule: 50 hrs per week (US Business Time)

Compensation: $1,500 - $1,700 USD monthly rate


Company Overview

Our client is a venture-backed construction technology company reimagining residential construction through advanced manufacturing, robotics, and traditional building expertise. The company designs and operates systems that integrate 3D printing, advanced materials, and lean production principles into real-world job sites. This is an early-stage, execution-driven, heavily AI-integrated environment where people take ownership and care deeply about outcomes.


Position Overview

The Construction Coordinator will take administrative and operational work off the executive team's plate. This role combines executive support, accounting and bookkeeping, HR administration, reporting, operations coordination, and AI-enabled workflow optimization. The successful candidate will be responsible for removing administrative and operational burdens from leadership while improving systems, automating repetitive work, and helping the company operate more efficiently.


Key Responsibilities

  • Manage executive calendars, scheduling, meeting logistics, and shifting leadership priorities.
  • Track executive action items, deadlines, follow-ups, and task completion; send reminders and coordinate delegation when appropriate.
  • Triage and organize executive email and communications, prioritizing items that require leadership attention.
  • Prepare, edit, and format reports, presentations, board decks, and internal documentation.
  • Develop KPI dashboards, operational metric reports, and performance-tracking tools to support business decision-making.
  • Prepare board reports and board presentation materials using company AI tools.
  • Manage low-level bookkeeping functions in QuickBooks Online, including transaction categorization, expense reconciliation, invoice tracking, vendor follow-up, and financial reporting support.
  • Reconcile and maintain data accuracy across QuickBooks Online, Buildertrend, and other operational systems.
  • Send contracts for execution and review agreements using AI tools, summarizing key risks, obligations, and action items for leadership.
  • Research, review, and assist with the preparation and administration of grant applications.
  • Provide HR administrative support, including onboarding documentation, employee enrollment, incident reporting, and personnel records management.
  • Support automated marketing systems by monitoring workflows, coordinating content posting, and ensuring systems function properly.
  • Leverage AI tools such as Claude, ChatGPT, and related platforms to automate administrative work, reporting, document creation, scheduling, analysis, and workflow management.
  • Identify administrative bottlenecks and implement process improvements that increase efficiency and scalability.
  • Create and maintain SOPs, templates, workflow documentation, and other process resources to ensure repeatable and scalable operations.


Qualifications

Required Qualifications

  • 2+ years of experience in an executive assistant, high-level administrative, project coordinator, or operations support role in a serious business environment
  • Advanced proficiency with Microsoft 365, including Excel, Outlook, PowerPoint, & Teams.
  • Hands-on bookkeeping or accounting support experience, with the ability to take over low-level bookkeeping tasks and run accounting reports
  • Hands-on experience using AI tools such as Claude, ChatGPT, or similar platforms in a professional environment
  • Strong technical and computer literacy with the ability to learn and operate multiple software systems
  • Ability to work approximately 50 hours per week with high availability for urgent and shifting priorities
  • Fluent in English (C1/C2 level)


Preferred Qualifications

  • Experience working in startups, venture-backed companies, or early-stage organizations
  • Experience in manufacturing, construction, or advanced manufacturing
  • Familiarity with Buildertrend or similar project management software
  • Experience building lightweight automations or AI-assisted workflows (Zapier, Make, scripts, or similar)
  • HR administrative experience including onboarding, forms, and incident reports
  • Experience building or maintaining SOPs, process documentation, or internal systems
  • Familiarity with grants administration or funding programs
  • Openness to future relocation and U.S. sponsorship


Work Environment & Compensation

  • Location: Remote (LATAM Applicants Only)
  • Schedule: 50 hrs per week (US Business Time)
  • Compensation: $1,500 - $1,700 USD monthly rate
  • Growth path: Potential U.S. work visa sponsorship within 12 -18 months for exceptional performers, with potential for significant compensation increase and equity
