Contract Renewal Records Clerk
Remote | Office Administration | Contract Dates
Full-time or part-time · £51,500–£55,000 per year for full-time work, part-time pro rata
A contract can have a start date, an end date and a separate date by which someone must review it. Those dates matter to the team managing the agreement, but they should come from the signed document or the authorised owner, not a guess. This records role maintains a calendar of supplied contract milestones and flags when a record is incomplete. You would not negotiate terms, advise on legal meaning or decide whether the organisation should renew an agreement.
Read the source carefully
When an approved document is assigned, find the relevant identifiers and dates under the employer’s instructions. A document may contain an extension letter or an amendment that changes one date without replacing the entire agreement. If the source is unclear, ask the contract owner to identify the current instruction before entering a deadline. Do not treat the date in a filename as a reliable substitute for the document. A register entry needs to link to the source that supports it.
The work can involve more than one team. A supplier agreement may be owned by operations, while a service agreement belongs to a customer team. Record the responsible owner in the online tracker as supplied. If that person changes, update the authorised contact field rather than leaving reminders pointed at someone who no longer handles the agreement. The owner decides the action; you make sure the date and record reach them in time.
What you would maintain
- The contract reference and parties as the employer instructs.
- A link to the approved current document or amendment.
- Key dates provided by the source or confirmed by the owner.
- A status showing whether a date requires review or has been checked.
- A note when the document contains conflicting or missing information.
- The team responsible for the next decision.
- A record of an approved update to the milestone calendar.
- A clear distinction between an upcoming review and an agreed renewal.
For example, a contract’s initial term may end in June but an approved extension moves the end date into September. The register should show the current date and preserve enough history to explain the change. If the extension has not been signed or confirmed, keep it pending instead of making September look final. The difference could affect important planning, so the next person should see exactly what is known.
You may be asked to prepare a factual list of agreements whose review dates are approaching. Check the query and date range before sending it, and make clear when an item is waiting for an owner’s confirmation. Do not send an automatic message to an external party unless the process specifically authorises it. This is office administration that supports other teams; it is not a sales or legal role. Customer service thinking helps when answering a colleague who needs the right document quickly.
The position is remote, using online records and a private home office. The employer will teach its document categories and date fields. No legal training is required, and previous contract administration experience is an asset rather than a condition. You should be willing to compare versions, record a source and seek guidance when a term is ambiguous. The hiring company will confirm actual hours and pay terms for its vacancy.
The register may also contain a notice address or internal contact named in the agreement. A person’s departure from the organisation does not automatically change a contract notice clause. You can flag an outdated internal owner and update the administrative contact when authorised, but refer changes to the agreement itself for review. If a reminder is approaching and the current owner is unclear, raise that gap early. An accurate date that reaches nobody is not a useful reminder, and the role exists partly to prevent that quiet failure.
Before the register is handed on
- Confirm that the owner named in the tracker is current.
- Check that an amendment is linked to the original agreement.
- Mark an unsigned extension as pending, not final.
- Record the source for a changed review date.
- Keep a missing notice instruction visible for the owner.
- Test that the authorised document link still opens.
Apply for consideration
Describe how you would record a date when an older document and a later amendment disagree. We welcome examples from study, volunteering or prior work. A short explanation of what you would leave pending is more useful than a confident guess.
You are not expected to interpret legal language independently. Candidates moving forward may be asked to complete an application on the hiring company’s website. The employer will train the selected person in its register and review process.
